Job Description — Academic Coordinator 1. Position Identification Job Title: Academic Coordinator Department: Academic Administration Reports To: Program Manager/Academic Lead Contract Type Full-time, in line with UAE Labour La Location Royal Roads University, Ras Al Khaimah Campus, UAE 2. Job Purpose :The Academic Coordinator supports the day-to-day academic operations of RRU-RAK by coordinating timetables, content development, internal verification of assessments, examination logistics, and academic record-keeping. 3. Organisational Context :The Academic Coordinator works under the direction of the Program Leader, Academics and the Dean. The role acts as the central operational link between faculty, students, content developers, and the QA function, and is critical to the audit-readiness of academic processes at RRU-RAK. 4. Key Responsibilities and Accountabilities ● Prepare and maintain term-by-term academic timetables, faculty allocations, and classroom schedules in line with the Module Allocation Policy. ● Coordinate the publication of the Assessment Calendar each semester, in conjunction with the Academic Manager and the Head of Academic Quality Assurance. ● Monitor day-to-day academic delivery and flag any operational issues to the Program Leader, Academics for resolution. ● Maintain the daily and weekly content-development trackers, ensuring timely upload of teaching materials to the Canvas Learning Management System (LMS). ● Receive draft assessment briefs and rubrics from faculty and route them through the Internal Verification process in line with the Internal Verification and Moderation Policy. ● Maintain documentation of internal verification reports, moderation samples, and variance reconciliation records. ● Coordinate the operational logistics of mid-term, semester, and final examinations, including invigilation rosters, examination tickets, and seating arrangements. ● Support the Examination Board by preparing verified result sheets, moderation summaries, and supporting documentation for review. ● Maintain accurate, dated, and authenticated academic records in the Student Information System (SIS), in line with the Records Management and Retention Policy. ● Reconcile student attendance records and ensure alignment with UAE student-visa compliance requirements. ● Prepare term-by-term academic reports for the Dean, the Academic Manager, and the Head of Academic Quality Assurance. ● Support periodic program review activities by collating enrolment, progression, retention, and completion data. ● Communicate timetables, deadlines, and academic expectations to faculty and students. ● Support new faculty in operational onboarding, including LMS access, content-development standards, and assessment-calendar awareness. ● Act as a first point of contact for student academic queries that fall short of formal grievance or appeal status, and route formal matters through the appropriate channels. ● Support audit-readiness by maintaining complete and well-organised academic records. ● Contribute to internal QA self-evaluation activities and to RAKDOK-required documentation. ● Support external moderation activity by RRU Canada by preparing samples and supporting documentation. 5. Qualifications, Experience and Skills 5.1 Essential Qualifications ● Bachelor’s degree in education, Business Administration, or a related discipline from a recognised institution. ● UAE Ministry of Education (MOE) attestation / equivalency for international qualifications, where applicable. 5.2 Desirable Qualifications ● Master’s degree in education, Higher Education Administration, or a related discipline. ● Professional certification in academic administration or quality assurance. 5.3 Experience ● Minimum 3–5 years of experience in academic coordination, registry, or academic operations within a higher-education environment, ideally in the UAE or GCC region. ● Demonstrated experience working with Learning Management Systems (Canvas or equivalent) and Student Information Systems. ● Prior experience supporting accreditation or quality-assurance audits is highly desirable. 5.4 Skills and Competencies ● Strong organisational and time-management skills with the ability to manage multiple parallel academic processes. ● Proficiency in Microsoft Office, LMS platforms, and student-information systems. ● Excellent written and verbal communication in English. ● High standards of accuracy, confidentiality, and integrity in handling academic records. ● Ability to work collaboratively with faculty, students, and academic leadership.
