By combining advanced R&D, high-capacity production, and premium packaging, VIVA ensures speed-to-market, enhanced supply chain control, and exceptional product outcomes.Role DescriptionThe Account Coordinator supports the Account Management team by coordinating customer projects, tracking deliverables, and ensuring timely follow-up across internal departments. This role works closely with Account Management, Product Development, R&D, Procurement, Quality, Supply Chain, and Production to help ensure customer needs are communicated clearly and projects remain on track. The ideal candidate is highly organized, detail-oriented, comfortable working in Excel, and committed to providing an excellent customer experience. This is an entry-level position that requires strong communication skills, a willingness to learn, and the ability to manage multiple priorities with minimal supervision.Core ResponsibilitesSupport Account Management with day-to-day customer and project coordination. Track customer projects and deliverables from RFQ/PO acceptance through completion. Maintain accurate project trackers, BOMs, timelines, and other customer-related information. Use Microsoft Excel extensively to track orders, components, deliverables, timelines, and project status. Coordinate with R&D, Procurement, Quality, Supply Chain, Production, and other internal teams to ensure key tasks are completed on time. Track customer BOM components and identify potential delays or missing information. Follow up on outstanding tasks and communicate status updates to the appropriate teams. Identify and escalate project risks, delays, and customer concerns. Respond to customer inquiries promptly and professionally, or coordinate internally to obtain the appropriate response. Help ensure customer requirements and commitments are clearly communicated and followed through.Maintain accurate records in CRM/ERP systems.Support the Account Management team in delivering a positive and consistent customer experience. Perform other duties that support the Account Management and Customer Success functions.Minimum QualificationsHigh school diploma required; college degree or equivalent experience preferred. 0–2 years of experience in customer service, account coordination, administration, project coordination, or a related field. Strong Microsoft Excel skills are required. Strong written and verbal communication skills. Highly organized with strong attention to detail. Strong follow-up and time-management skills. Ability to manage multiple priorities and meet deadlines. Comfortable working independently while collaborating with multiple departments. Customer-focused mindset with a strong commitment to customer success. Familiarity with CRM/ERP systems is preferred.Preferred / Plus QualificationsExperience in nutraceutical, pharmaceutical, cosmetics, food, or other cGMP manufacturing environments. Experience working with R&D/Product Development. Experience working with Quality Control/Quality Assurance. Experience with Supply Chain, Procurement, or Production. Experience managing BOMs, components, or manufacturing-related documentation. Additional experience with CRM/ERP systems.
