General AccountingManage day-to-day accounting activities, including GL, journal entries, accruals, provisions, and adjustments.Maintain accurate accounting records and ensure proper classification of income and expenses.Handle monthly, quarterly, and year-end closing activities.Review and clear outstanding transactions, suspense accounts, and accounting discrepancies.Ensure all financial transactions are properly supported, approved, and recorded.2. Freight Forwarding & Job AccountingManage job-wise accounting and costing for freight forwarding shipments.Ensure all freight, customs, transportation, port, handling, clearance, documentation, and other shipment-related costs are correctly allocated to respective jobs.Monitor job revenue, costs, margins, and profitability.Compare estimated vs. actual job costs and investigate variances.Ensure all shipment-related revenue and costs are recorded accurately and within the required timelines.Coordinate with Operations and Customer Service to ensure timely financial closure of completed jobs.Monitor unbilled revenue, accrued costs, pending job files, and unallocated expenses.Prepare and review job profitability reports and highlight margin issues to management.3. Accounts Receivable & Credit ControlReview customer invoices and ensure timely and accurate billing.Monitor customer outstanding balances, credit limits, and payment terms.Prepare and review AR ageing reports.Follow up on overdue receivables in coordination with Credit Control and customers.Reconcile customer accounts and resolve billing/payment discrepancies.Escalate high-risk and long-outstanding accounts to management.4. Accounts PayableReview and verify vendor invoices against job files, supporting documents, purchase orders, and operational records.Ensure shipping line, freight, transport, customs, port, and other vendor costs are accurately recorded.Reconcile vendor statements and resolve discrepancies.Monitor supplier advances, deposits, and outstanding balances.Prepare payment requests and payment schedules in accordance with company procedures.Coordinate with vendors and internal teams to resolve invoice-related issues.5. Bank & Cash ManagementPerform regular bank reconciliations and investigate discrepancies.Ensure all bank transactions are accurately recorded and reconciled.Monitor petty cash and cash transactions.Support cash-flow monitoring and payment planning.Coordinate with banks on payment-related matters when required.6. Financial Reporting & AnalysisPrepare monthly financial and management reports.Prepare and analyse P&L, balance sheet, AR/AP ageing, cash flow, revenue, expenses, and job profitability.Analyse financial variances and provide insights to management.Support budgeting, forecasting, and financial planning activities.Provide accurate financial information to the Finance Manager/Head of Finance for decision-making.7. Local VAT & ComplianceEnsure accounting transactions are correctly recorded in accordance with VAT requirements.Assist with VAT return preparation, reconciliations, and supporting documentation.Maintain proper tax records and documentation.Support compliance with local regulations and applicable accounting standards.8. Audit & Financial ControlsCoordinate with internal and external auditors.Prepare audit schedules, reconciliations, supporting documents, and required reports.Respond to audit queries and ensure timely resolution of findings.Ensure compliance with internal financial controls, approval procedures, and segregation of duties.Identify control weaknesses and recommend process improvements.9. Team Supervision & Cross-Functional CoordinationSupervise, guide, and review the work of junior accountants and accounting staff.Ensure accuracy, completeness, and timely completion of accounting activities.Coordinate closely with Operations, Sales, Customer Service, Procurement, and Management.Train team members on accounting procedures and freight-forwarding job accounting processes.Support the Finance Manager with financial analysis, reporting, and other finance-related assignments.
