Administration & Logistics Coordinator

Job PurposeResponsible for managing shipping and logistics operations while providing administrative support to ensure the smooth functioning of the office and project teams.Key ResponsibilitiesShipping & LogisticsCoordinate local and international shipments.Liaise with freight forwarders, customs agents, suppliers, and transport companies.Track shipments and ensure timely delivery of materials and equipment.Prepare shipping documentation including commercial invoices, packing lists, delivery notes, and Bill of Lading.Coordinate import and export activities and customs clearance processes.Maintain shipment records and logistics reports.Monitor transportation costs and logistics performance.AdministrationHandle office administration and document filing.Maintain company records, correspondence, and administrative databases.Coordinate travel arrangements, hotel bookings, and visa applications when required.Manage office supplies and vendor coordination.Support HR with onboarding documentation and employee records.Prepare reports, meeting minutes, and departmental correspondence.Coordinate with internal departments for administrative requirements.RequirementsBachelor's Degree or Diploma in Logistics, Supply Chain, Business Administration, or related field.Minimum 8-10 years of experience in Shipping, Logistics Coordination, and Administration.Experience handling import/export documentation and shipment coordination.Knowledge of UAE customs and shipping procedures is preferred.Proficiency in Microsoft Office (Excel, Word, Outlook).Strong organizational and communication skills.Ability to coordinate with multiple stakeholders and manage priorities effectively.Preferred BackgroundExperience in engineering, industrial, automation, control systems, electrical, solar, construction, or contracting companies.Experience coordinating with suppliers, freight forwarders, and project teams.
