PositionAdministration Assistant (IT Background)DepartmentAdministration Reports to Shared Services ManagerRole DescriptionThe Administration Assistant (IT Background) is responsible for providing comprehensive administrative support while overseeing day-to-day IT coordination and first-level technical support. The role ensures efficient office operations, maintains IT assets, supports employees with technology-related issues, and coordinates with external vendors to ensure uninterrupted business operations.Key ResponsibilitiesAdministrationProvide administrative support to the Shared Services Manager and other departments.Manage office correspondence, filing systems, records, and documentation.Coordinate meetings, prepare agendas, and maintain meeting minutes when required.Arrange travel, accommodation, and logistics for employees and visitors.Monitor office supplies and coordinate procurement activities.Liaise with suppliers, service providers, and building management.Maintain company administrative records and ensure proper document control.Support the onboarding and offboarding process by coordinating workstations, access, equipment, and administrative requirements.Assist in implementing and maintaining company policies and administrative procedures.Prepare reports, presentations, and other business documents as required.IT SupportProvide first-level IT support for hardware, software, printers, mobile devices, and Microsoft 365 applications.Set up laptops, desktops, email accounts, user profiles, and office equipment for new employees.Troubleshoot routine technical issues and coordinate with external IT vendors for complex matters.Maintain accurate records of IT assets, software licenses, warranties, and maintenance schedules.Coordinate system updates, equipment maintenance, and hardware replacements.Assist in monitoring network equipment, internet connectivity, and office technology.Ensure compliance with company IT security policies and support cybersecurity awareness initiatives.Maintain documentation of IT procedures, asset inventories, and support requests.QualificationsBachelor's degree in Information Technology, Computer Science, Business Administration, or a related field.3–5 years of experience in office administration with IT support responsibilities.Experience supporting a fast-paced corporate environment is preferred.Strong knowledge of Microsoft 365 applications and Windows operating systems.Familiarity with computer hardware, networking fundamentals, and office technology.Experience with ERP systems and IT asset management is an advantage.Experience coordinating with external IT vendors and managing office technology.Skills and CompetenciesExcellent organizational and administrative skills.Strong communication and interpersonal abilities.Ability to manage multiple priorities and meet deadlines.Strong analytical and problem-solving skills.Customer-focused with a service-oriented mindset.Ability to work independently with minimal supervision.High level of integrity, professionalism, and confidentiality.Good documentation and reporting skills.Strong attention to detail.Key Performance Indicators (KPIs)Timely resolution of first-level IT support requests.Accuracy and completeness of administrative records.Effective management of IT assets and office resources.Successful onboarding and offboarding coordination.Employee satisfaction with administrative and IT support services.Timely completion of assigned administrative tasks.Compliance with company policies and administrative procedures.Working RelationshipsInternalAdministration DepartmentHuman ResourcesFinanceAll Business UnitsSenior ManagementExternalIT Service ProvidersEquipment and Office SuppliersBuilding ManagementService ContractorsExperienceMinimum 3–5 years of relevant experience in administration with hands-on IT support.Experience coordinating with external IT vendors and managing office technology.Experience supporting a fast-paced corporate environment is preferred.Personal AttributesProactive and self-motivated.Strong sense of ownership and accountability.Adaptable and eager to learn.Professional and approachable.Team-oriented with excellent customer service skills.Able to handle confidential information with discretion.
