This position is ideal for someone who enjoys staying organized, solving problems, communicating with people, and helping a professional team operate efficiently.Key ResponsibilitiesWelcome clients and visitors in a professional and friendly mannerAnswer, screen, and direct incoming phone calls and emailsManage incoming and outgoing correspondence, electronic documents, and client communicationsSchedule appointments and coordinate calendarsMaintain accurate client records and electronic filing systemsAssist with document collection and follow-up requests to ensure files remain complete and on scheduleSupport client onboarding and administrative processes through client portals and e-signature platformsAssist with tax return e-filing and CRA authorization processesCommunicate with clients regarding outstanding information and provide timely updatesPerform data entry, document preparation, and general clerical supportCoordinate with accounting staff to ensure smooth communication and workflow completionIdentify opportunities to improve internal administrative processes and efficienciesMaintain a professional, organized, and welcoming office environmentQualificationsPrevious experience in an administrative, receptionist, office coordinator, or client service roleExcellent verbal and written communication skillsProfessional phone etiquette and customer service abilitiesStrong organizational skills with exceptional attention to detailAbility to prioritize tasks and manage multiple deadlines effectivelyProactive problem-solving mindset and willingness to take initiativeStrong computer skills, including Microsoft Outlook, Word, and ExcelComfortable learning and working with cloud-based software and digital toolsAbility to maintain confidentiality and professionalism at all timesHigh school diploma required; post-secondary education in business administration or a related field is considered an assetWho Will Succeed in This RoleThe ideal candidate is dependable, detail-oriented, and enjoys helping both clients and team members.
