Geneva Business School operates within an international network of higher education institutions (including IIG, BSL, and BTS). We are seeking a proactive, highly organized, and multi-talented BTS Administrative Assistant dedicated specifically to our Barcelona BTS program.  This position is designed to provide administrative support to both the BTS Program Coordinator and the BTS Admissions Manager. Serving as a key operational rock for the BTS unit, the BTS Administrative Assistant ensures smooth day-to-day coordination between academic management, admissions, recruitment, amongst others. The ideal candidate thrives in an international, multicultural environment, possesses strong technical skills in CRM systems and database management, and delivers exceptional customer service. Main Responsibilities: Academic & Program SupportMaintain and update student files, academic records, and grades across the different platforms to ensure error-free data.Assist with student onboarding and registrations.Support document processing for students.Help track submission deadlines, follow up with faculty members, and support classroom allocation and timetabling processes.  Admissions & Recruitment SupportSupport the recruitment pipeline by assisting with lead entries, candidate tracking, and profile updates.Assist prospective students with applications, collection of supporting documents, and basic guidance on visa application procedures.Help plan, set up, and execute recruitment activities.Greet prospective candidates, host campus visits, and escort visitors during tours.General AdministrationSupport the campus operations team when needed by assisting at the receptionManage general email inboxes, inquiries, and routine mail distribution.Create administrative reports, maintain accurate operational filings, and assist with general office administration to ensure smooth campus functionality.Perform general office administration, routine reporting, and documentation management. Qualifications & Experience: Education: Bachelor’s degree or equivalent.Languages: Native or fluent professional English (written and spoken). Spanish and/or French is a strong advantage.Work Authorization: Must be legally authorized to work in Spain.Technical Skills: Strong IT literacy.Soft Skills: Exceptional organizational and time-management skills with the ability to multitask and meet tight deadlines.Outstanding communication skills suitable for a global higher education setting.High attention to detail in data entry, record-keeping, and document generation.Proactive problem-solving mindset with an optimistic and collaborative approach.  Geneva Business School is an equal opportunity employer.
