We handle architecture, engineering, and construction under one roof, which means our projects don't stall in the handoffs that slow most firms down. In Los Angeles, where 12 to 24 months is normal for permitting, we pull permits in about 6 weeks.* You'll matter here. We're about 35 people, not 3,500. Your work is visible, and so is your impact.* You'll learn the industry from the inside. COIs, permits, prevailing wage paperwork, prequals, sub buyout. This is real construction operations knowledge that makes you valuable for the rest of your career.* You'll have a clear path. This role exists because our Office Manager is at capacity. Grow into that seat and you'll already know how the whole operation runs.* You'll have actual systems. Every part of this job has a written SOP. You won't be guessing what "done" looks like.* We're honest about the work. Some of it is repetitive. Reception, mail, supplies, filing. We're not going to pretend otherwise, and we're not going to treat it like it doesn't matter, because it does.WHAT YOU'LL BE DOINGYou'll report to the Office Manager and take on the work that keeps our office and project documentation moving.Office operations* Keep office supplies and PPE stocked, reordering at set thresholds* Answer and route calls, greet visitors, log and distribute mail and deliveries* Maintain shared calendars, book conference rooms, and schedule virtual meetingsProject administration* File project documents in our Matter portal and Google Drive, log revisions, keep contacts current* Build and send meeting agendas 24 hours ahead, access meeting notes and circulate them after* Track subcontractor insurance certificates and chase renewals before they lapse* Collect sub compliance paperwork: W-9s, licenses, insurance, prequalification packets* Schedule and file permits and inspection recordsHR and team support* Review time cards each pay period for accuracy and completeness, flagging missing punches, short or missed meal periods, and unapproved overtime to the Office Manager before payroll runs* Review mileage submissions against our policy, checking dates, destinations, business purpose, and totals* Maintain employee HR compliance documentation: I-9s, policy acknowledgments, training records, and required notices* Coordinate new hire logistics: accounts, equipment, workspace, paperwork before Day 1, and roster additions including CalSavers within 30 days of hire* Track employee certifications and license renewals, flagging them 30 days out* Schedule reviews, training, and safety meetings* Distribute internal notices and keep email signatures and brand standards consistentOne thing to be clear about: this role reviews and escalates. You won't be approving time cards, reimbursements, spending, or project decisions. Your job is to catch what's wrong and get it in front of the Office Manager fast. Doing that well is genuinely valuable to us.YOU'LL CRUSH THIS ROLE IF YOU* Are accurate on repetitive work, not just interesting work* Flag problems instead of working around them (a lapsed certificate you hid costs us far more than one you reported)* Are comfortable with numbers and can catch a missing punch or a math error in a stack of time cards* Close your own loops without being reminded* Write clearly and politely, because your emails go out to subs, inspectors, and clients under our name* Handle a busy front desk without treating interruptions as an inconvenience* Pick up new software quickly (we use Matter, Google Workspace, and Microsoft Office)* Keep confidential information confidential, since you'll be working with HR and payroll records* Have some office or administrative experience. Construction exposure is a plus, not a requirement. No certifications needed.ROLE DETAILSType: Full time, hourly (non-exempt), W-2Pay: $24.00 to $28.00 per hour, depending on experienceSchedule: Monday to Friday, 7:30am to 4:30pmLocation: Onsite at 2325 N.
