Must (a) function with minimal direction, discretion (confidentiality); (b) demonstrate independent judgment; (c) possess excellent organizational skills; and (d) have exceptional verbal/written communication skills. Completes established competencies for the position within designated introductory period. Performs other related duties as assigned.ResponsibilitiesGeneral Functions: Organizes daily activities to eliminate unnecessary disruption of executives’ workday and to facilitate smooth office operations/activities Acts as a liaison between executives and other staff members, vendors, physicians, patients and patients’ family members Communicates effectively, verbally and in writing, with all levels of staff, physicians, patients, and patients’ family members Maintains accurate appointment/meeting calendar Coordinates, organizes and plans events (meetings, retreats) including travel, lodging and activities Performs basic information gathering and analysis and/or forecasting as directed Assists in developing, preparing/editing correspondence (i.e., memos, letters); and/or reports Assists in developing and/or updating departmental policies, procedures, job descriptions, etc. Screens telephone calls and appropriately handles calls regarding patient, family and/or physician concerns; greets visitors in a friendly and timely fashion Maintains an orderly, up-to-date filing system and is able to readily retrieve documents Assists other Executives during the absence of their administrative support person Performs general office duties such as handling incoming/outgoing correspondence, prioritizing in order of urgency/importance to facilitate processing; order supplies, publications; subscription renewals, etc. Utilizes resources efficiently and effectively Maintains safe environment Participates in Performance Improvement activitiesQualificationsMINIMUM EDUCATION: High School Graduate or equivalentPREFERRED EDUCATION: Associates DegreeMINIMUM EXPERIENCE: 7 years as an administrative secretary in a professional business settingPREFERRED EXPERIENCE: Experience in healthcare environmentOrganization DescriptionBaptist Health System has more than 120 years history of caring for our community and making a positive difference.
