Job Responsibilities

Support the Manager in all administrative procedures and documentation necessary for site operations.Perform data entry of purchasing information and update the internal information system.Ensure all activities comply with established purchasing procedures and policies.Support the operations team in administrative matters such as submission of overtime claims, leave applications, and invoices.Raise purchase orders and work orders through the in-house CMMS system.Manage office administration and maintenance of equipment such as telephone systems, copier machines, etc.Handle sourcing and receiving of general office stationery and other materials.File and maintain proper records of all documents and correspondence.Prepare basic quotations (one-for-one SOR).Prepare work completion reports and ensure proper documentation.Submit monthly Work Order reports to the client.Assist with the monthly iFM report, including updating and maintaining the organizational chart, CMMS inventory, and related records.Update and maintain the training program, training matrix, and personnel (P) files.Perform any other ad-hoc duties as assigned.
