Administrative Assistant – Dental CenterJob SummaryWe are looking for a professional, organized, and friendly Administrative Assistant to support the daily operations of our dental center. The successful candidate will be responsible for welcoming patients, managing appointments, handling administrative tasks, coordinating with dentists and staff, and ensuring a smooth patient experience.Key ResponsibilitiesGreet and assist patients in a professional and welcoming manner.Answer phone calls, WhatsApp messages, emails, and patient inquiries.Schedule, confirm, reschedule, and cancel dental appointments.Maintain accurate patient records and update information when required.Register new patients and complete necessary administrative forms.Coordinate appointments between patients, dentists, hygienists, and other staff.Manage the reception area and ensure efficient patient flow.Handle payments, receipts, invoices, and basic billing procedures.Coordinate insurance approvals and assist with insurance-related paperwork when required.Follow up with patients regarding appointments, treatment plans, or outstanding payments.Maintain confidentiality of patient information and comply with clinic policies.Prepare daily schedules, reports, and administrative documents.Monitor office supplies and coordinate reordering when necessary.Support dentists and clinic management with general administrative duties.Handle patient concerns professionally and escalate complex issues to management when appropriate.Ensure the reception and administrative areas are organized and presentable.RequirementsPrevious experience in administration, reception, customer service, or a healthcare/dental setting is preferred.Excellent communication and interpersonal skills.Strong organizational and time-management abilities.Good computer skills, including Microsoft Office and clinic management systems.Ability to multitask and work efficiently in a busy environment.Professional appearance and positive attitude.Strong attention to detail and accuracy.Ability to maintain patient confidentiality.Good English communication skills; additional languages are an advantage.Preferred SkillsExperience with dental clinic or healthcare software.Knowledge of dental terminology and procedures.Experience with medical/dental insurance and billing.Strong customer service and patient-care skills.Working ConditionsFull-time position.Work is primarily based at the dental center reception/administration area.May require flexible working hours, including weekends or shifts, depending on clinic operations.
