Our client is a Vancouver-based, world-class artist management firm. The company represents high-caliber, internationally acclaimed touring and recording artists, as well as platinum-selling producers and songwriters.THE POSITIONThe successful candidate will serve as Administrative Assistant/Project Coordinator, supporting the VP/GM, along with a busy Project Manager. The position is in-office in Vancouver, BC and hours are approximately 9:30am-6pm.RESPONSIBILITIES:Calendar management,Setting up conference calls, call times and meetingsScheduling personal + professional appointments and meetingsComputer backups, junk mail checking, general technological maintenanceOrganizing and keeping track of contact informationOrganizing information and paperworkTravel grant applications for staffExpense reportsOpening and distributing mailCoordinating and booking travelEnsuring all travel requirements/protocols are metUpkeep and registering for travel rewards programsPassword log and upkeepTracking travel rebillsVarious mailing, faxing, shipping, photocopyingListening to demos/ present potential new clientsCoordinating phone service for international travelUpkeep of travel calendarPrepping for meetings (scheduling, prepping boardroom, catering, research)Archiving filesDropbox management and organizationPersonal assistant duties as neededProcessing insurance claimsContribute to brainstorm sessions and idea generation on behalf of clients, to support releases and toursOther client-specific activities as directed by project managersTask-specific coordination for clientsCoordinating client and partner gifts and cardsSKILLS & EXPERIENCE REQUIREDResourcefulness, self-sufficiency, and drive to grow your careerInterest in music industry and artist managementExperience in music industry, even if limited, is a bonus but not requiredExceptionally organized and able to multitask and manage time effectivelyAbility to manage a large volume of tasksAbility to handle challenging situations, be proactive, troubleshoot and problem-solveKnowledge of MS office and Mac computers is essentialAbility to work as part of a close-knit teamExceptional attention to detailStrong written and verbal communication skillsAvailability outside of regular office hours. The salary range for the position is between $50,000-$55,000 annually, to commensurate with experience.
