Our team brings diverse perspectives and identities to our work, prioritizing inclusivity and responsiveness in every aspect of care and support.Within this structure, the Administrative Coordinator functions as a site-based operational lead and reports to the Administrative Manager. The Administrative Coordinator role combines advanced administrative expertise, leadership in daily clinic workflows, and ensures an exceptional client experience across SHWB services. This position requires flexibility to deploy to other clinical locations to support cross-site needs and will serve as a key point of contact for resolving logistical, facilities, and systems issues on site.Key Responsibilities and DutiesServe as on-site lead for administrative operations across assigned clinical site(s), representing SHWB administrative leadership in daily functions.Redeploy to other clinical locations when necessary to provide coverage or continuity of service.Manage complex administrative workflows, including:Point & Click (PnC) Electronic Health Record operationsDaily no-show workflows, appointment eligibility checks, and insurance documentation reviewIntensive scheduling coordination for intakes, psychiatry, specialty care, and vaccine/flu clinicsReview and process medical records requestsHandle facilities and IT-related tickets, including submitting service requests, tracking progress, and ensuring follow-up through to resolution.Support physical clinic space to ensure a professional, welcoming, and well-functioning environment.Support new hire setup in coordination with credentialing specialist, IT, facilities, and clinical teams.Administrative and Front Desk FunctionsServe as a warm and informed first point of contact for students and clients.Answer phones and facilitate appointment scheduling, clinical communications, and general inquiries.Cross-trained in all administrative tasks and responsibilities for Mental Health Services and Primary CareProvide backup coverage for administrative staff.Ensure smooth coordination and communication between clinical providers and administrative staff.Departmental SupportParticipate in event planning and logistics coordination for departmental meetings, trainings, and student engagement efforts.Support schedule/template management in the EHR system.Update departmental website content in coordination with leadership.Maintain working knowledge of university processes.Special Knowledge, Skills, and AbilitiesStrong leadership skills; ability to manage performance and provide mentorshipExcellent customer service, interpersonal, and conflict resolution skillsStrong time management and multitasking abilities in a fast-paced clinical settingAdvanced knowledge of EMR systemsAbility to handle sensitive and confidential information with discretionProficiency with Microsoft Office 365
