Location: Al Khobar, Saudi ArabiaEmployment Type: Full-Time | On-siteLegal Solutions (LSL) is seeking a highly organized, proactive, and detail-oriented Administrative Coordinator to support the Office of the Director of Administration, Operations & Human Resources.The role is designed for someone with strong capabilities in administrative coordination, management follow-up, reporting, and operational support. The successful candidate will work closely with the Director and coordinate across Human Resources, Corporate Communications, and Operations to ensure that management decisions, plans, initiatives, deadlines, and action items are properly tracked, followed through, and reported.Key ResponsibilitiesFollow up on management decisions, assigned actions, departmental plans, and approved initiatives, and provide regular status updates to the Director.Maintain a structured tracker for action items, deadlines, responsibilities, pending matters, and completed tasks.Maintain and follow up on the Director’s administrative agenda, priorities, meetings, deadlines, and action items, ensuring that required actions are tracked through completion.Prepare clear daily, weekly, and periodic administrative reports, management summaries, and follow-up updates.Collect updates and supporting information from relevant departments and identify delays, pending actions, and matters requiring management attention.Support the Director in managing priorities, meetings, appointments, follow-ups, and key deadlines.Track action items arising from meetings and ensure timely follow-up with responsible employees and departments.Serve as the first point of contact for clients, visitors, and candidates arriving at or contacting the office.Handle initial client intake by collecting basic information, understanding the general nature of the request, documenting it, and routing it through the approved internal process.Follow up on new client requests until they are transferred to the appropriate legal or administrative function or escalated to management for the next action.Coordinate recruitment activities, including contacting candidates, scheduling interviews, preparing interview documentation, attending interviews when required, and maintaining recruitment records.Compile and prepare attendance, leave, recruitment, and other HR-related administrative reports for management review.Follow up on the implementation of internal circulars, administrative procedures, and management instructions.Coordinate with Corporate Communications, Human Resources, and Operations on the progress of approved plans, initiatives, and assigned actions.Prepare professional correspondence, meeting notes, follow-up summaries, and draft communications when required.Maintain accurate records, proper documentation, and confidentiality of management follow-ups and administrative matters.Role BoundariesThis is an administrative coordination and management follow-up role, not a legal operations role.The position does not include assigning legal matters, supervising legal work, managing court cases or hearings, or handling legal filings on government platforms. These responsibilities remain with the Legal Operations function.QualificationsDiploma or Bachelor’s degree in Business Administration, Management, Human Resources, or a related field.2–4 years of relevant experience in administrative coordination, administrative operations, executive support, management follow-up, office administration, or a similar role.Intermediate to advanced English proficiency, both written and spoken.Strong proficiency in Microsoft Excel, including organizing data, trackers, reports, and basic analysis.Good working knowledge of Microsoft Outlook, Word, and other standard office applications.Demonstrated experience preparing management reports, executive summaries, trackers, and structured administrative documentation.Strong report-writing and administrative documentation skills in Arabic; good business writing skills in English are preferred.Required SkillsStrong follow-up and task-tracking ability.Excellent organization and time management.High attention to detail and accuracy.Ability to manage multiple priorities and deadlines.Strong written and verbal communication skills.Professional client-facing and interpersonal skills.Ability to prepare concise and clear management reports.Strong sense of responsibility, discipline, and reliability.Ability to identify delays and follow up proactively without constant supervision.Sound judgment in handling confidential and sensitive information.Ability to coordinate across departments while respecting roles, responsibilities, and reporting lines.Proactive, structured, and results-oriented working style.Work Location: Al Khobar, Saudi ArabiaExperience Required: 2–4 years
