Job Description

Our client is seeking an Administrative Director to oversee key administrative and operational functions for its Chicago location.The ideal candidate will bring strong administrative leadership experience along with excellent financial acumen. This individual will oversee two direct reports and work closely with internal departments to ensure financial processes, employee support, and day-to-day office operations run efficiently.

Key Responsibilities

Oversee daily administrative operations and provide leadership to two direct reports.Partner with HR and payroll teams to address employee payroll questions and administrative needs.Review and approve payroll adjustments and assist with timekeeping processes.Coordinate new-hire onboarding and orientation activities in partnership with recruiting and HR.Provide employees with general information regarding company benefits and enrollment procedures.Help maintain compliance with required workplace postings and administrative documentation.Manage office operations, supplies, equipment, printing needs, vendors, parking programs, and other workplace services.Assist with follow-up related to customer concerns and workplace or guest incidents when needed.Serve as the primary local contact for technology needs and coordinate with internal IT teams or external vendors.Manage and review financial activities including budgets, forecasts, payments, rent obligations, percentage-based rent calculations, and departmental expenses.Monitor cash-management processes, deposits, petty cash, and daily financial closeout activity.Review revenue activity and identify discrepancies, unusual transactions, or areas requiring additional follow-up.Coordinate customer billing, outstanding receivables, invoice processing, and other accounting-related activities.Serve as a key point of contact for internal accounting teams regarding accounts payable, accounts receivable, and general financial questions.Prepare recurring month-end reports, accrual information, expense forecasts, and variance explanations.Facilitate computer, telephone, and technology setup for new employees.Participate in management meetings and collaborate with department leaders on operational priorities.Build productive working relationships across departments while handling sensitive and confidential information appropriately.

Qualifications

Minimum of 4 years of administrative, office operations, or related professional experience.Strong experience reviewing budgets, expenses, forecasts, payments, or similar financial information.Comfortable working with numbers and identifying discrepancies or financial variances.Previous experience within hospitality, tourism, entertainment, food & beverage, or a related service-driven environment is highly preferred.Prior experience leading or supervising employees is a plus.Strong organizational skills with the ability to manage multiple areas of responsibility simultaneously.Excellent interpersonal skills and ability to collaborate effectively with employees, managers, and senior leadership.Sound judgment and discretion when handling confidential or sensitive information.Proficiency with Microsoft Office, particularly Excel and Word.Comfortable learning and working across payroll, accounting, scheduling, and other business systems.
