We are dedicated to pushing the boundaries of creativity and strategic thinking to help our clients achieve and succeed with their marketing and business objectives.Due to the continued expansion of our business, we are looking for a highly organised, proactive and experienced Mid-Level Admin Executive to join our Hanoi office.About the RoleThis is a key support role working closely with the CEO and Senior Leadership Team. You will be responsible for ensuring the smooth coordination of day-to-day administrative activities, meetings, communications and company initiatives.The ideal candidate is someone who is professional, discreet, highly organised and able to take ownership of tasks with minimal supervision. You will be comfortable working with senior stakeholders, managing competing priorities and handling confidential information.Serve as a professional point of contact for internal and external stakeholders, managing enquiries with discretionProvide day-to-day administrative and coordination support to the CEO and Senior Leadership TeamManage the CEO's calendar, appointments, and meeting schedulesMonitor and prioritise the CEO's emails and requests, ensuring timely follow-upPrepare and maintain company documents, records, reports, and correspondence with accuracy and confidentialityCoordinate meetings end-to-end — agendas, minutes, and action-item follow-ups — including attending meetings with the CEO as neededTrack deadlines, commitments, and outstanding tasks, following up with stakeholders as required Liaise across departments to gather information and support projects, reports, and company initiatives, including basic research and summariesPrepare corporate documents and presentations, and provide Vietnamese–English interpretation support for the CEOOrganise business travel and company events, and support special projects and other administrative tasks as neededWe are looking for someone who:Has 3+ years of experience in administration, executive support, office coordination or a similar role.Has strong organisational and time-management skills, with the ability to manage multiple priorities.Is proactive, reliable and able to work independently with minimal supervision.Has excellent attention to detail and takes ownership of tasks through to completion.Is confident communicating with senior management and internal and external stakeholders.Demonstrates professionalism and discretion when handling confidential or sensitive information.Has strong written and verbal communication skills in  English.Is comfortable preparing professional documents, reports and presentations.Is confident using Microsoft Office / Google Workspace and common business software.Has a positive, flexible and solution-focused attitude.Enjoys working in a fast-paced, dynamic and international environmentBenefits of joining our teamProfessional development opportunities and continuous learning programs.Vibrant company culture with a focus on teamwork, creativity, and innovation.12 days annual leave in first year, increase to 15 days from year 2, Annual leave valid until 30th June next yearBirthday leave, Christmas leaveSick leave - 5 days paid without lodgement with social insurance.13th month salary Private health insurance, annual health check Social insurance on full salary after probationWorking days Monday – Friday, off for Saturday and Sunday Reward and Recognition - Company sponsored trips and eventsState-of-the-art equipment: laptop, monitor, and headset.
