Apply & track with Apply EdgePURPOSE OF THE ROLE:Brooki is a premium bakery and café brand renowned for its handcrafted cookies, brownies, cakes, and specialty desserts. As a joint venture between Bellamy Holdings and Arada Food & Beverage, Brooki is rapidly expanding across the UAE and GCC. The Admin Executive will serve as a central point of coordination for administrative requests, ensuring documents, approvals, permits, and corporate submissions are processed efficiently and tracked through to completion.PRIMARY RESPONSIBILITIES:Act as the single administrative point of contact into the Arada corporate functions. Route requests, track them and report status back unasked.Arrange meetings, travel, site visits and events for the UAE team. Diary coordination for the Operations Manager, itineraries and bookings, and logistics for visiting founders.Own UAE document control. Filing, naming, version control, access and preparation of documents for signature.Coordinate licensing, permits, municipality and authority submissions, trade licences, and visa and immigration administration.Administer leasing and fit out for the retail network and production facilities. Landlord correspondence, approvals, handover documents and critical dates.Run procurement administration. Quotations, purchase requests, approvals, supplier onboarding and the asset tracker.Coordinate inbound shipments, customs clearance, cargo insurance and deliveries, and keep freight status visible.Support store openings, concessions and pop ups. Run sheets, permits, staffing, supplier bookings and opening day coordination.Coordinate delivery aggregator administration, and quality and compliance documentation including labelling and product registration.Take notes at operations reviews, issue the action register, maintain the regional trackers and monday.com boards, and prepare regional reports and presentations for management.Support onboarding and human resources administration with the Arada people team.QUALIFICATIONSBachelor degree or equivalent.EXPERIENCEGCC experience essential, with working knowledge of UAE licensing, permits, municipality processes, visas and authority submissions. Administrative or coordination experience across more than one function at once, with competing priorities.Food and beverage, hospitality or multi-site retail background, familiar with retail network and production operations.SKILLS AND COMPETENCIESWorks from registers, trackers and systems rather than memory, moving between operations, legal, finance, projects and marketing without losing the thread.Highly technology capable across Microsoft 365, Teams, monday.com, SharePoint and AI tools, and fast to learn new systems.
