With a large international workforce and operations spanning multiple jurisdictions, the organization is looking for an experienced Administration Manager to oversee corporate administration and ensure the smooth day-to-day running of its Dubai headquarters.Role OverviewWe are looking for a highly organized and experienced Administration Manager to lead the administrative operations of a fast-paced corporate office.The role will be responsible for office administration, facilities coordination, vendor management, corporate services, travel and accommodation arrangements, administrative policies, documentation, and the supervision of administrative support staff.The ideal candidate will be hands-on, highly structured, service-oriented, and experienced in managing administrative operations within a large, professional organization.ResponsibilitiesOversee the day-to-day administrative operations of the office, ensuring a professional, efficient, and well-organized working environment.Manage office facilities, maintenance, utilities, office supplies, access arrangements, parking, and other workplace requirements.Supervise reception, office administration, drivers, office assistants, and other administrative support personnel.Manage relationships with external vendors and service providers, including contracts, quotations, service levels, renewals, and cost control.Coordinate business travel, accommodation, transportation, meeting arrangements, and other corporate logistics when required.Develop, implement, and maintain administration policies, procedures, records, and internal controls.Manage office leases, maintenance agreements, insurance documentation, service contracts, and other administration-related records.Coordinate office moves, renovations, seating arrangements, workspace planning, and new office requirements.Ensure meeting rooms, common areas, reception, and executive areas are maintained to a high professional standard.Support the onboarding and offboarding process from an administrative perspective, including workstations, access cards, equipment coordination, and office orientation.Maintain accurate records of company assets, office equipment, keys, access cards, parking allocations, and other administrative inventories.Monitor administrative expenditure, prepare budgets, review invoices, and identify opportunities for cost optimization.Support senior management and executive offices with corporate administration and logistical requirements where necessary.Ensure administrative operations comply with company policies, health and safety requirements, building regulations, and applicable local requirements.Handle sensitive company information and executive requests with a high level of confidentiality and professionalism.RequirementsBachelor’s degree in Business Administration, Management, Hospitality, Facilities Management, or a related discipline.Minimum 7–10 years of experience in administration, office management, corporate services, facilities, or a related function.At least 3 years of experience in a managerial or supervisory capacity within a professional corporate environment.Strong experience managing office facilities, vendors, contracts, administrative teams, and corporate services.Proven ability to manage multiple priorities across a large and fast-paced office environment.Strong budgeting, vendor negotiation, cost-control, and administrative planning capabilities.Excellent organizational skills with strong attention to detail and follow-through.Strong interpersonal and stakeholder-management skills, including confidence working with senior executives.Excellent written and verbal communication skills in English.Strong proficiency in Microsoft Office and corporate administrative systems.High level of discretion, professionalism, accountability, and confidentiality.UAE experience within a large corporate, financial services, fintech, technology, professional services, or similarly fast-paced organization is preferred.
