About the RoleThe Administration Officer is responsible for managing daily administrative operations, ensuring smooth office functioning, maintaining facilities, coordinating vendors, handling office supplies, and supporting employees with administrative requirements. The role focuses on creating an efficient, safe, and well-organized workplace.ResponsibilitiesManage day-to-day office operations and administrative activities.Maintain office records, files, and documentation.Ensure proper functioning of office equipment and facilities.Monitor office cleanliness and housekeeping standards.Coordinate maintenance and repair activities for office premises.Liaise with landlords, service providers, and contractors.Ensure compliance with health, safety, and security requirements.Manage office seating arrangements and workspace allocation.Identify, negotiate, and coordinate with vendors and suppliers.Monitor vendor performance and service quality.Process purchase requests and ensure timely procurement.Maintain service contracts and agreements.Maintain records of office assets and inventory.Track issuance and return of company assets.Conduct periodic asset verification and stock checks.Ensure adequate availability of office supplies and stationery.Arrange travel bookings, accommodation, and transportation.Support internal meetings, conferences, and company events.Coordinate logistics for employee engagement activities.Monitor administrative expenses and budgets.Process invoices and support payment coordination.Identify opportunities for cost optimization.Provide administrative assistance to employees and management.Coordinate onboarding logistics for new employees.Support employee welfare initiatives and office services.QualificationsBachelor's degree in Business Administration, Management, or a related field.3+ years of experience in administration, facilities, or office management.Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).Knowledge of procurement and vendor management practices.
