Administrative Operations Executive / Operations Administrator / Office Operations ExecutiveLocation: SingaporeEmployment Type: Full-TimeLevel: Executive / AssociateJob OverviewWe are seeking an organised, reliable, and detail-oriented Administrative Operations Executive / Operations Administrator / Office Operations Executive to support daily administrative and operational activities in Singapore.The successful candidate will coordinate office operations, maintain documentation, support internal teams, manage administrative processes, and help ensure the smooth and efficient running of day-to-day business activities.This role is suitable for candidates with experience in administration, office coordination, operations support, or related functions.Key ResponsibilitiesCoordinate daily administrative and office operations.Provide administrative support to management and internal departments.Manage office documentation, records, files, and correspondence.Prepare reports, presentations, forms, letters, and other business documents.Coordinate meetings, appointments, schedules, and internal activities.Handle incoming emails, calls, enquiries, and general administrative requests.Maintain accurate databases, spreadsheets, and administrative records.Assist with procurement of office supplies, equipment, and services.Coordinate with suppliers, vendors, building management, and external service providers.Monitor office supplies, equipment, and inventory levels.Support employee onboarding and other internal administrative processes.Assist with travel arrangements, meeting logistics, and company events when required.Process invoices, purchase orders, expense claims, and other administrative documents.Support the preparation and maintenance of operational procedures and guidelines.Track administrative and operational tasks to ensure timely completion.Identify opportunities to improve office processes and operational efficiency.Assist with internal projects and cross-functional operational initiatives.Maintain confidentiality of company and employee information.Ensure administrative activities follow company policies and procedures.Perform other administrative and operational duties as assigned.RequirementsDiploma or Bachelor's degree in Business Administration, Management, Operations, Office Administration, or a related field.1–4 years of experience in administration, office operations, business operations, or a similar role.Fresh graduates with relevant internships or administrative experience are welcome to apply.Strong organisational and time-management skills.Excellent attention to detail and accuracy.Good written and verbal communication skills.Proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint.Ability to manage multiple tasks and prioritise work effectively.Strong coordination and problem-solving abilities.Professional attitude and ability to work with employees at different levels.Ability to work independently as well as part of a team.Candidates must be legally eligible to work in Singapore.Preferred SkillsExperience with ERP, HRIS, CRM, or office management systems.Knowledge of procurement and vendor coordination processes.Experience preparing operational reports and spreadsheets.Familiarity with workflow management and process improvement.Basic knowledge of accounting or invoice processing is an advantage.Experience supporting office facilities and workplace operations is a plus.Strong Excel skills, including PivotTables and basic formulas, are advantageous.
