Administrative Operations Executive / Operations Administrator / Office Operations ExecutiveRole Description We are seeking a structured, resourceful, and proactive Administrative Operations Executive / Operations Administrator / Office Operations Executive to oversee day-to-day workplace operations, streamline office administrative workflows, and maintain a seamless operational environment. In this entry-to-mid level role, you will report to the Office Manager or Operations Director and work cross-functionally with HR, Finance, Procurement, and Business Unit Leaders. You will be responsible for managing facility maintenance, coordinating vendor contracts, maintaining office infrastructure, and managing supply inventories. Responsibilities include organizing company events, enforcing office health and safety guidelines, managing visitor and access control protocols, maintaining administrative documentation, and assisting with operational expense tracking. Success in this position requires exceptional multi-tasking skills, strong vendor management capabilities, proficiency with office productivity and spreadsheet software, and a service-oriented mindset focused on workplace optimization.QualificationsEducation: Bachelor's degree or Diploma in Business Administration, Operations Management, Public Administration, Hospitality, or a related discipline.Office & Facilities Administration: Proven experience managing facility operations, workspace allocation, office equipment maintenance, and administrative support services in a corporate environment.Vendor Management & Service Contracts: Capability to liaise with external service providers (e.g., building management, cleaning crews, IT hardware vendors, utility providers), evaluate service level agreements (SLAs), and process operational invoices.Inventory & Asset Management: Experience tracking office supplies, IT assets, pantry stock, and company equipment using structured inventory control systems.Health, Safety & Compliance: Working knowledge of workplace safety regulations, fire safety protocols, access control systems, and office health standard operating procedures (SOPs).Event Planning & Operational Logistics: Ability to organize company-wide meetings, town halls, team-building activities, and corporate travel arrangements.Spreadsheet & Budget Tracking: Intermediate proficiency in Microsoft Excel / Google Sheets (VLOOKUP/XLOOKUP, Pivot Tables, SUMIFS) for logging administrative expenses, vendor costs, and operational budgets.Process Standardization & SOPs: Experience drafting and maintaining administrative policies, office user guides, and operational checklists to drive consistent facility standards.Communication & Interpersonal Skills: Excellent verbal and written communication skills to field internal employee requests, negotiate with vendors, and collaborate effectively with executive leadership.Professional Attributes: High degree of self-motivation, strong problem-solving agility under pressure, keen attention to detail, and a welcoming, professional demeanor.
