We have a professional automotive R&D process and testing & verification system, to ensure that each product can endure more than 10 years or 260,000 km of use.About the RoleWe are looking for a detail-oriented and proactive administrative specialist to oversee the daily office operations of our local branch/office. In this role, you will be the face of the company for visitors, manage essential administrative and logistical tasks, ensure regulatory compliance with local policies, and maintain seamless communication with our global Headquarters (HQ).ResponsibilitiesFront Desk & Reception ManagementManage daily front desk and reception duties for the branch/office, including greeting and welcoming clients, partners, and visitors.Handle inquiries, manage appointment registrations, and maintain a professional and welcoming corporate image.Daily Administrative OperationsOversee daily office administration, including workplace environment maintenance, as well as office supplies procurement, inventory management, distribution, and ledger tracking to ensure smooth office operations.Document & Records ManagementResponsible for the organization, archiving, safekeeping, and circulation of various administrative documents and records.Manage clerical duties and handle basic data/text entry for the branch/office.Local Logistics & Vendor SupportCoordinate local logistics services, including daily maintenance and liaison for office facilities, utilities, and property management.Manage and secure logistical arrangements such as hotel, restaurant, and vehicle bookings.Local Compliance & Administrative SupportAssist with local administrative matters, including basic coordination for local compliance filings, document submissions, and certificate annual renewals to ensure alignment with local regulations.Meeting Coordination & SupportProvide comprehensive support for branch/office meetings, including meeting room setup, issuing notices, taking meeting minutes, and following up on action items.HQ Liaison & Auxiliary TasksAssist in coordinating with Headquarters (HQ) by syncing administrative data, reports, and operational updates.Complete other administrative support tasks as assigned by HQ.QualificationsEducation: Bachelor’s degree in Business Administration, Human Resources, or a related field.Experience: 2+ years of experience in office administration, executive assistance, or facilities management, preferably within an international or multinational company.Skills: Proficient in MS Office Suite (Word, Excel, PowerPoint) and office management software.Competencies: Strong organizational skills, attention to detail, excellent communication, and the ability to multitask effectively.Fluency in both Arabic and English (written and spoken) is required.Proficiency in Chinese (Mandarin) is a strong plus to facilitate smooth communication with HQ.
