Job Description

We are currently seeking a highly motivated and organized Administrator – Operations to join our BEEAH Al Ain team. This role is responsible for providing essential administrative support to the Operations Department, ensuring smooth documentation, data management, and coordination of operational activities.

Key Responsibilities

Create and maintain documentation for permits, cleaning, and waste collection within AD Lot 1.Prepare and manage monthly manpower lists and overtime planning data.Upload and submit overtime and attendance data to relevant portals and HR for validation and payroll processing.Maintain daily attendance records and shift schedules for the operations team.Archive and manage all operations-related files and reports.Prepare and process leave requests, passport releases, rejoining, resignation, and clearance forms for staff.Maintain and update employee master data, including new joiners, resignations, and terminations.Prepare disciplinary action requests and coordinate performance evaluations for all operations staff.Create purchase and service requests for materials and services in SAP.Generate goods received notes (GRN) upon receipt of items.Receive and process traffic fines and accident deduction data for salary deductions, ensuring proper approvals and record-keeping.Schedule and arrange meetings as directed by the Operations Manager, including preparing minutes of meetings.Prepare daily, weekly, and monthly operational reports, including submissions to Tadweer – AD.Assist operations supervisors with attendance and leave management in both the attendance system and SAP.Support the Operations Manager with additional administrative duties as required.Qualifications and Experience:Bachelor’s Degree or Diploma in any discipline (Office Administration certification is an advantage)0–3 years’ experience in administration, document control, or secretarial roles (experience in Waste or Facilities Management is a plus)Skills:Proficient in MS Office (Word, Excel, PowerPoint)Experience with SAP (Procurement, Finance modules)Strong written and verbal communication skills in English (Arabic, Hindi, or Urdu are a plus)Excellent administrative, document archiving, and letter writing skillsWillingness to interact with workers and drivers
