We build intelligence for our customers, and we like to run the company the same way.POSITION OVERVIEWSpade is looking for an organized, proactive AI-first Operations Manager & Executive Assistant to support our CEO and Executive Leadership Team about 15–20 hours a week. Half the job is familiar: calendars, communications, travel, projects, and keeping the business running smoothly. The other half is the fun part — as you learn how the work flows, you use AI to make it lighter, and you share what you build with the rest of the team.You do not need to be technical. If you are the person who already uses AI tools to draft, summarize, and automate the tedious parts of your day, you are who we are looking for. We will give you the tools and the room to figure it out.WHAT YOU WILL DOSupport the CEO and leadership team. Manage calendars, triage incoming communications, and coordinate travel.Prepare meeting materials, capture notes and action items, and follow up so nothing drops.Draft and polish correspondence, documents, and presentations.Handle confidential information with discretion. Keep operations running (and continuously improving). Manage hiring, business operations, and logistics for a distributed team.Coordinate projects and keep status visible to the leadership team.Keep business documents, records, and data organized and easy to find.Plan company events, offsites, and meetings.Make the work lighter with AI. Notice the recurring, manual work — yours and the team’s — and find better ways to do it.Build simple AI-assisted workflows using the tools we already have, plus no-code automation where it helps.Write down how they work, so anyone can run them, and show the team how to use them.Keep sensible guardrails around accuracy, review, and what stays human.WHAT WE ARE LOOKING FOR5+ years experience supporting executives or running operations.Real, everyday use of AI tools — not expertise, just genuine fluency and curiosity.Comfort picking up new tools, including no-code automation.
