The role holder is responsible for supporting portfolio and delivery governance across the AI portfolio, using ServiceNow Strategic Portfolio Management (SPM) to enable the organisation’s AI Centre of Excellence (CoE). The role supports the governance of AI use cases, incoming pilots and AI-enabled products through the portfolio lifecycle, applying the agreed controls so that compliance, auditability and business case evidence are maintained at each gate. The role coordinates between Portfolio Governance, the AI CoE, Product Management and delivery teams, in support of the AI portfolio's alignment with enterprise strategy and responsible AI principles and maintains SPM as the single source of truth.

Key Responsibilities

ServiceNow SPM Support and Portfolio Enablement Apply working knowledge of ServiceNow SPM to support portfolio governance across the AI portfolio.Support teams in the day-to-day use of the Demand, Project, Funding and Cost modules, escalating complex queries appropriately.Apply agreed portfolio structures and classification consistently across all demands and projects.Act as a first point of contact for SPM processes, workflows and governance standards within the AI portfolio.Support continuous improvement of SPM data quality and reporting capability. AI Portfolio Intake and Qualification Administer AI portfolio intake in SPM across IT and AI initiatives, checking submissions against agreed standards for business case evidence and categorization.Progress demands and projects through screening, qualification and approval, applying the agreed assessment and scoring criteria.Prepare qualified demands and projects for prioritization and funding decisions taken by the VP – Portfolio & Governance and relevant forums.Maintain the demand pipeline as a reportable asset, recording deferrals and rejections in line with agreed disposition rules.Process Demand-to-Project and Demand-to-Product conversion within SPM.Delivery Governance Support, Controls and Compliance Maintain governance controls, project tasks, milestones and audit-ready documentation within SPM.Coordinate approvals, sign-offs and governance forum arrangements, tracking that demands and projects meet compliance and regulatory requirements.Prepare and maintain audit-ready documentation, including business requirement documents, UAT evidence and security approvals.Track project health by maintaining the RAID log — risks, issues, dependencies and change requests — and escalating items affecting delivery commitments.Maintain the AI portfolio within SPM on a daily basis, ensuring project information, milestones, risks and status updates remain current and accurate.Check the completeness and accuracy of portfolio data, including cost and funding records, and escalate discrepancies for resolution.Conduct data quality reviews across the AI portfolio.Execution, Closure and Benefits Tracking Support execution and closure by checking completion criteria, collating acceptance sign-offs, and recording benefits tracking and lessons learned.Track the approved business case from demand through to delivered project and closure, flagging variances to the VP – Portfolio & Governance.Monitor demands and projects through to benefits realization and review business case documentation for completeness and quality.Apply the end-of-life policy, supporting product and business owners through the decommissioning process when a product or asset is no longer in use.Stakeholder Engagement and Reporting Support alignment with product-led delivery models across the AI portfolio.Track dependencies across data, models and delivery.Track and report on the transition of AI outputs into live products and workflows.Promote consistent use of SPM as the single source of truth for portfolio data.Coordinate across the AI CoE, Product Management and the PMO, supporting Product Managers by keeping AI portfolio data current in SPM.Produce regular status and pipeline reporting to support governance reviews and decision-making.Prepare portfolio health and maturity reporting for the VP – Portfolio & Governance and relevant governance forums.Who we are looking for:1 – 3 years of experience in IT PMO, portfolio or delivery governance within a complex, multi-project organisation. Strong hands-on experience with ServiceNow SPM, covering the Demand, Project, Funding and Cost modules. Demonstrated ownership of project governance, approval gates and delivery frameworks. Experience working with Product Managers and assessing AI use case feasibility and value. Experience with AI or data initiatives is preferred.Education / Professional Certifications:Bachelor’s degree in information technology, Computer Science, Business Administration or a related field. Portfolio, programme or project management certification, such as MoP, PfMP, PMP or PRINCE2, is advantageous. ServiceNow SPM certification or accreditation is advantageous.Technical Competencies:Strong functional expertise in ServiceNow SPM, including portfolio structures, classification, workflows and reporting. Understanding of financial governance and business case validation. Understanding of the AI and machine learning lifecycle, AI use cases and responsible AI principles. Working knowledge of governance controls, approval gates, RAID management and audit-ready documentation standards. Ability to interrogate portfolio data, identify quality issues and drive remediation to closure. Strong stakeholder engagement and governance-forum facilitation skills.
