We are looking for a motivated and organized Legal Assistant in our Zurich office. The ideal candidate will handle various administrative and research tasks, is detail-oriented, highly organized, and able to manage multiple tasks efficiently. The assistant will ensure smooth and effective operations within the legal department. We are looking for a smart thinker, quick learner, humble, able to work under pressure, stress-resistant, and proactive with strong emotional intelligence.Key Responsibilities:1. Administrative Support:Manage and organize calendar, schedule appointments, and meetingsHandle incoming and outgoing correspondence, including emails, letters, and phone callsPrepare, proofread, and edit legal documents, contracts, and correspondenceMaintain and organize legal files, both physical and electronicAssist in preparing reports, presentations, and other documents as neededSupport onboarding of new members of the firm2. Legal Research and Documentation:Conduct legal research on various topics Prepare legal memoranda, summaries, and briefsAssist in drafting and reviewing legal documents, contracts, and agreementsManage and track legal deadlines, ensuring timely filing and submissionLiaise with clients, witnesses, and other parties involved in legal matters3. Case Management:Organize and maintain a database of case-related documentsCoordinate with external legal counsel and other professionalsPrepare and file legal documents with courts and authoritiesMonitor case progress and provide updates 4. Client Interaction:Act as a point of contact for clients and ensure high-quality communicationSchedule meetings and prepare materialsHandle confidential information with discretion5. Office Management:Manage office supplies and equipmentHandle billing, invoicing, and expense reportsCoordinate travel arrangements (flights, hotels, transport)Assist in organizing events (especially Swiss Capital Market Forum), conferences, and meetings6. Digital, IT & AI Tools:Support digital workflows and contribute to the firm’s AI and digital strategyUse and optimize IT systems (Outlook, Word, Excel, PowerPoint)Prepare presentations and documents using modern digital toolsUtilize AI tools (e.g. ChatGPT, legal AI platforms) to support research, drafting, and efficiencySupport internal automation and process optimization initiativesTranslate newsletters, website content, and legal documents (English, German, Russian, French)Qualifications:Education:Bachelor’s degree preferred; legal assistant/paralegal certification is a plus or willingness to pursue CAS paralegal educationExperience:Minimum of 5 years in a legal assistant or similar roleSkills:Strong knowledge of legal terminology, procedures, and documentationProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Digitally savvy with strong interest in legal tech and AI toolsExperience with legal research tools (e.g. Westlaw, LexisNexis) and case management softwareExcellent written and verbal communication skillsStrong organizational and multitasking abilitiesHigh attention to detail and accuracyDiscretion and confidentiality handlingFluency in German and English (Russian and French are a plus)Application Process:To apply, please submit your CV, a letter of motivation, and references to:HR Manager, Assel Stoller – assel.stoller@lindemannlaw.ch.We look forward to hearing from you and welcoming a new member to our team.
