Application Assistant / Intake Assistant / Enrollment Assistant to support application processing, document collection, applicant communication, registration, scheduling, database management, and enrollment administration.The ideal candidate is highly organized, detail-oriented, service-focused, and comfortable managing multiple applications, deadlines, documents, and stakeholder communications.Key ResponsibilitiesReceive, register, and process applications through approved online and offline channels.Assist applicants with forms, submission procedures, required documents, and application requirements.Review applications for completeness, accuracy, missing information, and supporting documentation.Accurately enter and update applicant information in CRM, ATS, admissions, enrollment, or administrative systems.Maintain organized applicant records, forms, correspondence, documents, and application-status information.Track applications from initial intake through review, approval, additional-document requests, and enrollment.Contact applicants regarding missing documents, incomplete information, deadlines, interviews, assessments, and next steps.Send application confirmations, instructions, reminders, appointment details, and status updates.Monitor outstanding applications and follow up to ensure required actions are completed on time.Coordinate interviews, assessments, consultations, orientations, registration appointments, and enrollment sessions.Schedule meetings between applicants, admissions advisors, recruiters, HR teams, academic staff, or other authorized personnel.Assist with document verification and administrative checks according to established procedures.Maintain records of identification documents, qualifications, application forms, references, consent forms, and other required materials.Assist applicants with registration and enrollment forms, approved payment instructions, and administrative procedures.Support acceptance, onboarding, registration, and enrollment processes after approval.Coordinate approved application changes, transfers, withdrawals, cancellations, and appointment rescheduling.Prepare applicant lists, intake summaries, reports, correspondence, and management updates.Monitor application volumes, processing times, pending cases, and enrollment status.Identify duplicate, inconsistent, outdated, or incomplete records and coordinate corrections.Coordinate with admissions, recruitment, HR, academic, finance, compliance, customer-service, and operations teams.Assist with applicant onboarding and provide clear information about approved procedures and requirements.Respond professionally to routine applicant inquiries by email, phone, messaging platforms, or other approved channels.Handle applicant concerns and complaints professionally and escalate complex cases to the appropriate supervisor.Maintain accurate digital and physical filing systems for applications, supporting documents, correspondence, and enrollment records.Prepare daily, weekly, and monthly reports covering application activity, pending cases, intake status, and enrollment progress.Assist with internal audits, quality checks, compliance reviews, and documentation requests.Maintain strict confidentiality of personal, educational, employment, financial, and other sensitive applicant information.Follow data-protection requirements, equal-opportunity principles, internal policies, application procedures, and applicable UAE regulations.Identify opportunities to improve application turnaround times, data accuracy, applicant communication, and enrollment efficiency.RequirementsBachelor’s degree or equivalent qualification in Business Administration, Education, Human Resources, Communications, Office Administration, or a related field is preferred.3+ years of professional experience in admissions, enrollment, recruitment coordination, application processing, customer service, or administrative operations is preferred.Experience handling applications, document collection, applicant communication, registration, or enrollment is advantageous.Strong understanding of intake procedures, document management, database administration, and applicant support.Excellent spoken and written English communication skills.Additional languages such as Arabic, Hindi, Urdu, Mandarin, French, or Russian are advantageous.Excellent organizational, administrative, follow-up, and time-management skills.Exceptional attention to detail when reviewing applications, documents, records, and deadlines.Ability to manage multiple applicants and cases simultaneously while maintaining accuracy.Strong interpersonal skills with a professional, patient, and service-oriented approach.Ability to explain application procedures clearly and communicate incomplete-case information professionally.Proficiency in Microsoft Excel, Word, Outlook, Google Workspace, CRM, ATS, admissions, or enrollment systems.Experience with Salesforce, HubSpot, Workday, applicant-tracking systems, student-information systems, or comparable platforms is advantageous.UAE or GCC experience in education, recruitment, healthcare, corporate services, or customer-intake administration is advantageous.Experience supporting remote or international applicants is advantageous.Admissions, HR, education, customer-service,
