If you’re ready to grow, contribute, and make a meaningful impact with a supportive team, we’d love to hear from you.How You'll Make an Impact?1. Master Data - Customer master data maintenance

• Update the new customer account in the system.
• Update new ship-to’s and revised credit limit of customers.
• Periodic check for inactive customer account and block for posting/flag for deletion.
• Proper filling of documentation for all master data (new account, credit limit) for reference.2. Credit Managementa) Customer finance analysis
• Perform background search with the relevant authorities of a potential new customer to verify the company legally existence.
• Perform periodic review of financial situation of existing customers and take necessary action to safeguard company’s assets.b) Credit limit administration
• Constantly monitor the performance (sales and collection) of the customer accounts to ensure the trade is within the credit limit assigned.
• Assign the credit limit to the potential new customers with recommendation according to the agreed credit control policy.c) Risk category administration
• Review together with sales team on the aging of the customer account to assess the possible risk of default and assist Manager in determining the strategy of minimizing the risk.
• Review with Manager the customer for past payment trends/sales or any returned/stopped payment.
• Propose to Sales team/Sales Manager to change the trade terms (credit limit & credit terms) if the current limit is not sufficient
• Monitor the bad debt/doubtful debts provision. Highlight to AR & CC Manager when the provisions reach the alarming level.
• Always minimize bad debts level. Highlight to AR & CC Manager when an account is potentially turn bad with suggested next best cause of action.
• Send out Reminder Letters to customers which are not paying on time.
• Review and assess “high risk” Customer accounts to ensure that adequate risk mitigation steps been taken either by placing a Credit Insurance or obtaining a bank guarantee from the customer.d) Order blocking & releasing
• Release the customers with “Order block” status due to credit limit exceeded.
• Check with sales team if the collection has been made for “order block” status.
• Release the blocking after consensus agreement/action has been obtained with sales team.e) Customer claim handling
• Process customer claims (CN & DN) and returns are adequately handled with proper documentation.
• Process claims/returns are properly accounted in the customer account.
• Review/issue Credit Note for goods returned and submit for AR & CC Manager’s approval.3. Customer Account Handlinga) Payment collection from customers
• Process and ensure collections from customers are captured and reflected in the account on a timely manner.
• Process customer transactions items per bank statement and ensure all are captured and reflected in the respective accounts on a timely manner.
• Process the salesperson collecting the payment from customer and submit of all necessary documents for accounting.
• Process and ensure receipts have been issued for all collections from customers.
• Monthly update the actual collection vs target collection of the salesperson for collection & sales target achieved purpose.
• Assist Manager in determining the accounts profile of the customers for sales team.
• Assist Manager in dealing with customers to discuss on overdue amount and agree on repayment terms.
• Review/issue Credit Notes for prompt pay discount and submit for AR & CC Manager’s approval.
• Process reminder letter and ensure have been sent to customer with due receivables.b) Outgoing refund payments
• Process refund to customers with proper documentation.
• Process refund payments are properly accounted in the customer account.
• Review/issue the Credit note for refund to customer and submit for AR & CC Manager’s approval.c) Statement
• Process Statement of Accounts and issued to customers monthly.
• Conduct Customer reconciliation for all customer accounts in a timely manner.4. Query Handling
• Attend to queries from customer in a proper and timely manner.
• Interact with Sales team on queries on customer accounts in a proper and timely manner.5. Export Transactions
• Follow-up with customers and ensure the due receivable amount from inter-co AR & Export AR are collected on time.
• Liaise with customer if a problem arises due to unpaid Invoices.
• Seek advice from Manager if the credit limit is breached and need collateral from Export customers if customer wants to increase the credit limit.6. Reports
• Prepare monthly report on Bad Debts.
• Prepare monthly AR balance sheet reports and ensure it’s updated on time.7.
