Assistant Facilities Manager

Job SummaryThe role is responsible for supporting the planning, coordination, and delivery of integrated facilities management services to ensure efficient, safe, and cost-effective operation of buildings and infrastructure. The position assists in overseeing daily FM activities, vendor performance, maintenance execution, and service quality while ensuring compliance with service level agreements, safety standards, and operational requirements.Key ResponsibilitiesSupport the planning and execution of facilities management operations including soft and hard servicesCoordinate daily maintenance activities across mechanical, electrical, plumbing, and civil servicesMonitor vendor and subcontractor performance to ensure compliance with service level agreementsConduct regular site inspections to ensure service quality, safety compliance, and operational efficiencyAssist in budgeting, cost control, and tracking of FM operational expensesEnsure timely response and resolution of maintenance requests and service issuesSupport implementation of preventive maintenance schedules and asset management plansLiaise with clients, tenants, and internal stakeholders to ensure service satisfactionMaintain records of work orders, maintenance activities, and service reports in CMMS systemsAssist in managing emergency response and incident handling proceduresEnsure compliance with health, safety, and environmental standards across all FM activitiesSupport contract management activities including renewals, performance reviews, and reportingCoordinate with procurement for materials, services, and vendor-related requirementsAssist in performance reporting and KPI tracking for FM servicesSupport continuous improvement initiatives to enhance service delivery and operational efficiencyTools & Methods, HSEQAbide by the Health, Safety, Environmental and Quality, (HSEQ) policy, procedures necessary for the good conduct and safety of the workplace. The Employee shall seek clarification and guidance in specific cases or whenever one feels necessary.Customer RelationsDevelop a pro-active working relationship with all authorities and assist in establishing areas for service improvement.Minimum QualificationsBachelor’s degree in Engineering, Mechanical / Electrical Engineering or a related field.Technical certification in facilities or building services management is an advantage.Arabic speaker is highly advantageous.Minimum Experience7-8 years of experience in facilities management or building operations.At least 2 years of experience in a supervisory or assistant managerial role.Job Specific SkillsStrong understanding of integrated facilities management operationsKnowledge of MEP, civil, and soft services coordinationGood project coordination and vendor management skillsFamiliarity with CMMS and FM reporting systemsStrong analytical and problem-solving abilitiesGood understanding of health, safety, and environmental regulationsAbility to manage multiple tasks and prioritize effectivelyStrong communication and stakeholder management skillsProficiency in Microsoft Office applicationsAbility to work under pressure and handle operational challenges effectively
