General Purpose of the PositionThe Assistant Project Manager – Facilities Engineer supports the Project Manager in managing and monitoring Facilities Management, Operations, and Maintenance activities, ensuring service continuity, asset reliability, operational efficiency, client satisfaction, and compliance with contract requirements, KPIs, SLAs, and company policies.The role supports workforce planning, resource management, cost control, reporting, and coordination with the client, contractors, suppliers, and internal departments.2. Key Duties and ResponsibilitiesA. Operations & MaintenanceSupervise daily Operations and Maintenance activities.Ensure preventive and corrective maintenance is completed according to approved plans and SLAs.Follow up on breakdowns, work orders, and technical requests.Monitor MEP, HVAC, fire protection, and other facility systems.Conduct inspections and follow up on corrective actions.Review recurring breakdowns and recommend preventive measures.Monitor contractors and service providers for compliance with scope, quality, and safety requirements.B. Workforce ManagementSupervise Operations and Maintenance teams.Allocate tasks and prepare work, shift, and leave schedules.Monitor attendance, productivity, and performance.Identify training needs and support employee development.Ensure compliance with company policies and SOPs.C. Facilities & Asset ManagementEnsure proper condition and operation of facilities, assets, and equipment.Maintain accurate asset and maintenance records.Monitor equipment performance and recommend improvements.Coordinate with Stores and Procurement for spare parts, materials, and tools.Support energy, water, and cost-saving initiatives.D. Quality & KPI ManagementEnsure compliance with contract requirements, technical specifications, KPIs, and SLAs.Monitor service performance and implement corrective actions.Follow up on client complaints and observations until closure.Maintain accurate technical and operational records.Support quality inspections and audits.E. Client & Contractor CoordinationMaintain professional relationships with client representatives.Respond to client requests and follow up on required actions.Participate in client and project meetings.Coordinate with contractors, consultants, and internal departments.Escalate critical technical and operational matters to the Project Manager.F. Reporting, Budget & Cost ControlPrepare daily, weekly, and monthly Operations and Maintenance reports.Report on maintenance, breakdowns, manpower, productivity, and KPIs.Support project budget preparation and cost monitoring.Monitor manpower, materials, spare parts, and operational expenses.Recommend cost-saving and efficiency improvements.G. HSE & Emergency ManagementEnsure compliance with HSE policies and safe work procedures.Monitor PPE and safety compliance.Report hazards, incidents, and unsafe conditions.Coordinate with HSE and the Emergency Response Team during emergencies.Support emergency response and evacuation procedures.H. Stores ManagementMonitor receiving, issuing, storage, and inventory procedures.Ensure proper preservation of materials, spare parts, and equipment.Coordinate with Stores and Procurement to maintain required stock levels.Monitor key control and restricted-area access procedures where applicable.3. Client FocusProvide prompt and professional responses to client requests.Follow up on complaints and observations until closure.Maintain strong knowledge of facilities, systems, equipment, and services.Identify potential issues proactively to maintain service quality.Support continuous improvement of client satisfaction.4. Financial ResponsibilitiesSupport preparation and monitoring of the project budget.Monitor operating costs and resource utilization.Monitor consumption of materials, spare parts, water, and energy.Identify cost-reduction and efficiency opportunities.Support the Project Manager in achieving financial and operational objectives.5. General & Additional ResponsibilitiesMaintain effective communication with all project departments.Support the Project Manager and Project Management Team.Implement company policies, procedures, and client requirements.Participate in meetings, training, and development programs.Maintain confidentiality and professional conduct.Support waste reduction, recycling, energy conservation, and environmental initiatives.Ensure readiness of maintenance tools, equipment, and workshops.Perform other duties related to the position as assigned by management.6. Authority & AccountabilityThe Assistant Project Manager – Facilities Engineer reports directly to the Project Manager and operates within the approved delegation of authority and company authority matrix.The position coordinates between the Project Manager, Operations and Maintenance Teams, Client, HSE, Quality, Stores, Contractors, and Service Providers to ensure continuous, efficient, and high-quality service delivery.
