This is a rare opportunity to become a key member of a highly respected global firm, supporting senior Fee Earners whilst playing an integral role in the day-to-day success of the office. The position offers far more than traditional executive support, providing exposure to clients, business development initiatives, marketing activities and regional operations within a very collaborative office environment.As a trusted partner to senior colleagues, you will manage complex and ever-changing diaries, coordinate meetings across multiple international offices and time zones and ensure that communication, documentation and logistics are seamlessly organised. You will build strong relationships with both local and international clients, helping to deliver an exceptional client experience while acting as a key point of contact for a wide range of stakeholders. This role is ideal for someone who thrives on variety, enjoys taking ownership of their workload, and is looking to elevate their career within a fun but professional services environment.Main ResponsibilitiesIn this highly visible and varied role, you will be responsible for managing complex diary schedules and coordinating meetings across a network of international offices and senior Fee Earners. You will work closely with legal teams to help meet critical deadlines, prepare and format high-quality documentation, and ensure that all business activities are managed efficiently. A significant part of the position will involve arranging extensive international travel, including flights, accommodation, visas, meeting schedules, and all related logistics.You will play an important role in strengthening client relationships, supporting marketing initiatives, business development activities, pitches, and client events while ensuring that the firm's CRM system remains accurate and up to date. You will also assist with client onboarding processes, helping to ensure compliance requirements are met efficiently and professionally. In addition, you will support billing and invoicing activities, coordinate partner billing requirements, and maintain accurate financial administration relating to client matters.The role will also involve preparing correspondence, agendas, presentations, reports, and other business documentation, while maintaining effective document management and filing systems. You will support audit requests, expense management, contract reporting, and a range of operational projects, working collaboratively with colleagues across the Riyadh office as well as regional and international teams. With the support of an experienced HR Manager and a collaborative team environment, this position offers excellent exposure and development opportunities within a globally recognised firm.Qualifications & PrerequisitesTo be successful in this role, you will have previous Executive Assistant experience within a law firm environment, ideally from an international firm, although candidates currently working within respected regional firms and looking to take the next step in their career are also encouraged to apply. Fluency in both Arabic and English is essential, together with exceptional written and verbal communication skills and the confidence to interact with senior stakeholders and high-profile clients.You will possess advanced Microsoft Office skills, excellent organisational abilities, and meticulous attention to detail. A strong understanding of client financial processes, including billing and invoicing, would be highly advantageous. The ideal candidate will be proactive, solutions-focused, and capable of anticipating potential challenges before they arise.
