Under the direction of the Operations Manager, the Boarding Agent is responsible for the coordination of all agency, husbandry, and administrative functions associated with individual vessel calls assigned to the Port Office. This role ensures the smooth arrival and departure of vessels, timely completion of necessary documentation, and effective communication with all involved parties. Duties include, but are not limited to:Board vessels in Port on a daily basisAssist Operations Manager with planning and assigning weekly vessel rotation Assist Operations Manager with billing proceduresAssist Port / Operations Manager with follow-up and completion of pro forma requestsAssist in the preparation of estimates of port costsEstablished and maintain the marine vessel file ensuring documentation is prepared in an accurate and timely fashionPrepare/execute required governmental and agency documents for appropriate approvals and submission to marine vessel filesCommunicate daily with principals/customers, marine vessel’s Master, Port Authority, Terminals, and appropriate government authoritiesProcure outside services at the direction of the Operations Manager for assigned marine vesselsExercise high quality vendor service management and cost controlMakes required trips to United States Immigration Control, and U.S. Customs Office to ensure all necessary documentation is ready for arrivals and departuresAll other duties assignedPerform other related duties at the discretion of the Operations Manager or other member of management teamRequirements: High School diploma or equivalencySome college courses in business management helpfulPrevious experience in the marine agency field helpful but not requiredVerifiable excellent customer services abilitiesAble to enter, generate and retrieve information using a computerExperience with Microsoft Office SuiteStrong communication skills, with groups and in individual interactions to solve problemsMust be able to lift 50 pounds Must have a valid driver’s license and an acceptable motor vehicle record (MVR)Must be able to obtain a Transportation Workers Identification Card (TWIC)Must have reliable transportationMust be able to provide and maintain automobile insurance according to state lawsMust be available to work a flexible schedule based on business needs, including days, nights, weekends, and some holidays with travel to and from the marine vessel while in PortNot all aspects of the job are covered by the descriptions, other duties may be requiredPosition may change as the industry and technology evolveThe employee will be required to make numerous trips to the marine vessel during its time in port to handle any issues relevant to the efficient arrival and departure of the vessel.The employee must have the ability to work a flexible, full-time schedule, which may include days, nights, evenings, weekends, and holidays.
