Location: Novi Sad, SerbiaWorkplace: Office-basedEmployment: Part-timeExperience: 2–3 yearsIndustry: Clinical Research / Healthcare / Life SciencesAbout the roleWe are looking for a dynamic, highly organized and proactive Operations & Business Support Associate to join our international team in Novi Sad.This is a central execution and coordination role supporting the day-to-day operation of the company across business operations, project support, financial administration, business development and office management.You will work closely with management and different members of the team, helping ensure that information is accurate, actions are followed up, deadlines are visible and operational processes keep moving.This role is ideal for someone who enjoys taking ownership, organizing things, solving practical problems and working across different areas of a business.Key responsibilitiesBusiness & Financial OperationsCoordinate preparation of client invoices and verify billable itemsMaintain trackers for incoming client payments and outgoing vendor paymentsSupport project cost tracking and financial reportingCollect, verify and organize vendor invoicesPrepare documentation and information for external accountantsSupport routine financial and administrative workflowsProject & Business SupportMaintain project, operational and business development trackersSupport preparation of proposals, budgets, presentations and capability documentsOrganize meetings and track follow-up actionsMaintain internal dashboards and reporting toolsCoordinate information and follow-ups across different functionsMonitor pending actions and help ensure timely completionOffice ManagementSupport the smooth day-to-day operation of the Novi Sad officeCoordinate office supplies, equipment, services and routine administrative requirementsSupport meetings, visitors and internal eventsMaintain organized office and administrative documentationCoordinate with external service providers when requiredTake ownership of practical administrative tasks that support the team and workplaceWhat we are looking forExperience2–3 years of relevant professional experience in business operations, project coordination, administration, financial coordination, office management or a similar roleRequired skillsStrong Excel skills and confidence working with tables, trackers and structured dataGood understanding of numbers and financial informationVery good written and spoken EnglishStrong MS Office and general digital skillsAbility to prepare clear and structured documents and reportsExcellent organizational skills and attention to detailPersonal qualitiesProactive and hands-on approachStrong sense of ownership and responsibilityReliable and disciplined in following tasks through to completionComfortable managing multiple prioritiesStrong communication and coordination skillsPractical problem-solving mindsetTeam-oriented and collaborativeFast learner with genuine curiosityComfortable working across different areas of the businessWho will succeed in this role?The successful candidate will be someone who does not simply wait for instructions.You notice that something needs to be done, you understand what is required, you take ownership and you follow it through.You should enjoy being the person who keeps things organized, connected and moving.This is not a purely administrative role.
