Business Assistant to CEO — Gloria JeansGloria Jeans is looking for a highly capable, proactive, and well-organized Business Assistant to the CEO to provide high-level executive and business support to the CEO and help ensure the smooth execution of priorities across the organization.This is a high-trust role requiring excellent organizational skills, discretion, strong communication, attention to detail, and the ability to work effectively in a fast-paced international fashion retail environment. The Business Assistant will act as a key point of coordination for the CEO, managing priorities, information, schedules, meetings, travel, visas, and day-to-day business matters.Key Requirements3–7+ years of relevant professional experience, preferably in fashion, retail, consumer goods, consulting, investment, or another fast-paced international organization.Previous experience as a Business Assistant, Executive Assistant, Personal Assistant to CEO/Founder, Executive Coordinator, or similar senior support role.Previous experience supporting a CEO, Founder, Chairman, or senior executive is strongly preferred.Strong understanding of business operations and ability to communicate effectively with different functions, including Product, Buying, Design, Sourcing, Supply Chain, Retail Operations, Finance, HR, IT and E-commerce.Excellent ability to manage the CEO's calendar, meetings, appointments, priorities and daily schedule.Ability to coordinate internal and external meetings, ensuring all relevant information, documents and participants are properly prepared.Strong organizational skills and ability to manage multiple priorities, deadlines and requests simultaneously.Ability to prepare and organize presentations, reports, documents, meeting materials and business correspondence.Strong follow-up skills, ensuring that actions, requests and commitments resulting from meetings are properly tracked and completed.Ability to coordinate with senior executives, department heads, employees, business partners, candidates, consultants and external stakeholders.Strong written and spoken English; Russian is a strong advantage.Excellent communication skills and professional confidence when interacting with senior stakeholders.High level of discretion, confidentiality and professionalism, with the ability to handle sensitive business, financial and personnel information.Strong attention to detail and ability to identify potential issues before they become problems.Ability to anticipate the CEO's needs and proactively provide solutions, information and support rather than simply responding to requests.Strong proficiency in Microsoft Office / Google Workspace, including PowerPoint, Excel, Word and calendar-management tools.Experience coordinating international travel arrangements, including flights, accommodation, transfers, itineraries and travel documentation.Experience managing and coordinating visa and immigration applications for international travel across different countries.Ability to prepare, collect and submit visa and immigration documentation, ensuring applications are complete, accurate and submitted within the required timelines.Ability to liaise with embassies, consulates, immigration authorities, visa application centers, travel agencies and external visa service providers.Strong ability to monitor visa application status, follow up with relevant authorities and proactively resolve any issues or delays.Ability to maintain accurate records of visas, passports, permits and other travel-related documentation and ensure that all required documents remain valid and up to date.Comfortable operating in a fast-paced, international and rapidly changing environment.Willingness to work with flexibility when required by the CEO's schedule and business priorities.Willingness to travel internationally when required.Bachelor's degree from a reputable university is preferred.The role is not a traditional administrative assistant position. The Business Assistant should act as a trusted and proactive business partner to the CEO, helping manage priorities, coordinate information and stakeholders, ensure effective follow-up, and support the CEO in maintaining focus on the Company's most important business objectives.The Business Assistant will also be responsible for ensuring that the CEO's international travel and mobility requirements are managed efficiently, including coordinating visas and immigration processes for different countries, preparing the necessary documentation, liaising with relevant authorities and service providers, monitoring deadlines and ensuring that all travel-related requirements are completed in advance.The ideal candidate will be highly organized, commercially aware, discreet, proactive and solution-oriented, with the maturity and confidence to work closely with senior leadership in a dynamic international fashion organization. The successful candidate should be comfortable taking ownership of complex and time-sensitive tasks, anticipating requirements, managing multiple stakeholders and ensuring that nothing falls through the cracks.
