The company operates across San Francisco, Hawaii, Japan, and Indonesia, bringing together international design, project management, technical, procurement, and operations teams.Our Indonesia-based team works directly with Henderson Design Group’s international leadership, designers, and project managers to support projects across these markets.As Henderson Design Group continues to grow internationally, we are expanding our team in Semarang to strengthen the internal systems and operational infrastructure supporting the company.This position will be employed locally by PT Exporio Global Teknologi, Henderson Design Group’s Indonesia-based strategic partner.About the RoleWe are looking for an experienced and process-oriented Business Operations Coordinator to strengthen Henderson Design Group’s internal operating systems.This position will work across Henderson Design Group’s teams in San Francisco, Hawaii, Japan, and Indonesia to develop clear workflows, document Standard Operating Procedures, improve coordination, eliminate inefficiencies, and strengthen operational accountability.The successful candidate will help build scalable systems that enable Henderson Design Group’s international teams and departments to operate consistently and efficiently.This is not an HR position and does not manage individual client projects. Its primary focus is improving how the company operates internally.Key ResponsibilitiesStandard Operating ProceduresDevelop, document, implement, and maintain company Standard Operating Procedures.Work with department leaders to understand and document existing workflows.Document processes involving Henderson Design Group’s international leadership, project managers, designers, and Indonesia-based departments.Identify missing, outdated, duplicated, or inefficient procedures.Ensure SOPs clearly define responsibilities, required steps, approvals, timelines, and expected results.Establish document-control and version-management standards.Monitor whether approved procedures are consistently followed.Maintain the Henderson Design Group and PT Exporio Operations operational handoffs between Henderson Design Group’s international teams and the Indonesia-based team.Identify communication gaps, duplicated work, unclear responsibilities, and recurring delays.Eliminate unnecessary administrative steps.Simplify and standardize recurring processes.Recommend and implement practical operational improvements.Help automate repetitive administrative tasks.Establish clear ownership and accountability across workflows.Monitor whether improvements produce the expected results.Follow up with department leaders until approved improvements are completed.Help develop scalable systems supporting Henderson Design Group’s continued international growth.Cross-Department and International CoordinationCoordinate operational initiatives involving teams in San Francisco, Hawaii, Japan, and Indonesia.Clarify responsibilities, deadlines, handoffs, and approval requirements.Monitor cross-department operational action items.Identify bottlenecks and escalate unresolved issues to management.Ensure operational decisions are properly documented and communicated.Support department leaders with the implementation of new systems and procedures.Ensure international and Indonesia-based teams have access to current operational information.Policies, Forms and Administrative SystemsMaintain current company policies, forms, checklists, templates, and administrative procedures.Standardize commonly used internal documents.Ensure employees and departments use the latest approved versions.Maintain the organization chart and operational responsibility structure.Develop practical tools that improve consistency and accountability.Coordinate software-license, account, and equipment-administration procedures with HR and IT.Ensure approved operational standards are properly documented and implemented.Operational Reporting and DashboardsDevelop and maintain reports covering:SOP development and completionDepartmental complianceOutstanding operational action itemsPolicy and procedure updatesProcess-improvement projectsDepartmental KPIsWorkflow delays and bottlenecksCross-department handoffsInternal system implementationOperations Manual completionAssigned corrective actionsPrepare operational reports and dashboards for leadership when required.Operational ComplianceMonitor whether departments follow approved procedures.Request required operational information from department managers.Document compliance gaps and unresolved issues.Follow up on corrective actions and agreed deadlines.Escalate repeated or material noncompliance to management.Ensure operational records and supporting documents remain complete and accessible.Monitor the implementation of approved procedures across departments.AuthorityThis position will have the authority to:Request operational information from department managers.Require departments to document established processes.Monitor compliance with approved SOPs.Follow up on incomplete operational action items.Recommend workflow and administrative improvements.Maintain company SOPs, forms, policies, and the Operations Manual.Escalate significant operational issues to improvementsStrong accountability and follow-through across the organizationQualificationsBachelor’s degree in Business Administration, Management, Industrial Engineering, Operations Management, or a related field.At least five years of experience in business operations, process improvement, project coordination, administration, or business-process management.Demonstrated experience developing SOPs and documenting business processes.Strong written and verbal English.Excellent organizational and project-management skills.Strong analytical and problem-solving ability.High attention to detail and strong follow-through.Proficiency with Microsoft Office and Google Workspace.Experience using Monday.com, Notion, ClickUp, Asana, or similar workflow-management systems is preferred.Experience building dashboards, KPIs, or internal reporting systems is preferred.Experience supporting an international organization is an advantage.Experience building operational systems from the ground up is
