Location: Downtown Houston, TX (Hybrid)Employment Type: Full-TimeSalary: $68,000–$79,000/year + BonusLanguage: Business-level Japanese and English requiredPosition OverviewA global company in Downtown Houston is seeking a Japanese-English Bilingual Business Operations Coordinator to support and improve day-to-day corporate operations.This position coordinates administrative processes, document management, digital workplace tools, and cross-functional business operations.

The role also supports management meetings, company events, business travel, visitors, employee administration, and other corporate activities.The ideal candidate is highly organized, comfortable working with digital tools such as Microsoft 365, and interested in improving processes and creating more efficient ways of working.Key ResponsibilitiesBusiness Operations & Process CoordinationCoordinate administrative and operational workflows across the organization.Support managers in establishing, documenting, and improving business processes and procedures.Monitor operational processes and identify opportunities for improvement.Coordinate with different departments and internal stakeholders.Support implementation of new administrative processes and workflows.Participate in initiatives to improve operational efficiency, consistency, and scalability.Document & Information ManagementManage internal approval workflows and related documentation.Organize and maintain documents and information using SharePoint, Teams, and other internal systems.Maintain organized corporate records, filing systems, and knowledge resources.Support document governance, migration, retention, and information management initiatives.Help improve accessibility and usability of company information.Digital Workplace & Microsoft 365 SupportSupport the effective use of Microsoft 365, including Teams, SharePoint, Outlook, Excel, and PowerPoint.Assist employees with collaboration and productivity tools.Promote best practices for document sharing and digital collaboration.Identify opportunities to improve productivity through automation and AI tools.Support digital workplace initiatives, system improvements, and user training.Assist with tools such as Microsoft Copilot and Power Automate when applicable.Administrative & Corporate SupportCoordinate management meetings, strategy workshops, company events, and other corporate activities.Prepare meeting materials, agendas, presentations, and supporting documents.Coordinate logistics for business visitors, secondees, and company guests.Assist with business travel arrangements and meeting logistics.Support general office operations and Administration team projects.Maintain organized records related to meetings, events, travel, and administrative activities.HR & General Affairs SupportSupport employee onboarding and general employee administration.Assist with office administration and vendor coordination.Support employee communications and internal corporate programs.Maintain policies, administrative records, and related documentation.Coordinate with employees, management, service providers, and external stakeholders.Support improvements to HR and General Affairs processes.Continuous ImprovementIdentify inefficient processes and suggest practical improvements.Support workflow enhancements and automation initiatives.Help develop standardized and scalable operational practices.Contribute ideas to improve employee experience and organizational effectiveness.Participate in process improvement and operational excellence initiatives.QualificationsRequired:3–7 years of relevant professional experience in business operations, corporate administration, operations coordination, project coordination, HR/General Affairs, process improvement, office management, or a related corporate support role.Business-level proficiency in both Japanese and English.Experience with Microsoft 365, including Teams, SharePoint, Outlook, Excel, and PowerPoint.Experience with document management and business process coordination.Strong organizational, prioritization, and project-tracking skills.Strong attention to detail.Excellent written and verbal communication skills.Ability to coordinate effectively with multiple departments and stakeholders.Associate degree required; bachelor's degree preferred.PreferredMicrosoft Copilot.Power Automate.AI productivity tools such as ChatGPT or Claude.Knowledge management systems.SAP Concur or similar corporate applications.Experience supporting process improvement, automation, or digital workplace initiatives.This job description describes the general nature of the position and is not intended to be an exhaustive list of all responsibilities.
