The ideal candidate enjoys bringing structure to complex operations, working with data, improving processes, and making sure priorities move from planning to execution.Key ResponsibilitiesReporting, Analytics & Operational PerformancePrepare recurring operational, business, and performance reports. Build, maintain, and improve KPI dashboards and leadership scorecards. Analyze operational data to identify trends, performance gaps, bottlenecks, and improvement opportunities. Track missing or incomplete information and follow up with appropriate stakeholders. Translate data into clear insights and actionable recommendations for leadership. Prepare agendas, presentations, reports, and follow-up items for leadership and company meetings. Monitor key operational metrics and help ensure timely completion of action items. Process Improvement, Systems & ProjectsDevelop, document, and improve SOPs, workflows, policies, templates, and internal resources. Help departments consistently adopt and follow established operational processes. Coordinate system implementations, testing, documentation, training, and ongoing support. Manage user access, permissions, account changes, and system records as needed. Lead or coordinate cross-functional operational projects from planning through implementation. Track project milestones, owners, deadlines, decisions, deliverables, risks, and outcomes. Identify inefficient or inconsistent processes and recommend practical improvements. Support change-management efforts related to new systems, workflows, and organizational initiatives. Onboarding, Training & People OperationsPartner with HR and department leaders on recruiting coordination, onboarding, offboarding, employee development, and review processes. Coordinate new-hire readiness, including system access, equipment, documentation, training assignments, and schedules. Manage operational offboarding activities to ensure access, records, company property, and responsibilities are properly transitioned. Track employee reviews, training requirements, and related follow-up activities. Coordinate learning and development assignments and completion. Maintain records related to licenses, certifications, insurance, and other required documentation. Monitor expiration dates and missing requirements and escalate issues before they impact operations. Company-Wide Operational SupportCoordinate professional development, education, and internal training programs. Assist with company travel logistics and related operational resources. Maintain contract tracking, including renewal dates, ownership, documentation, and required follow-up. Review accounts payable submissions for appropriate documentation and approval routing. Coordinate vendors, facilities, and other shared operational needs. Support leadership with special projects and changing operational priorities as the organization grows. QualificationsBachelor's degree in business, healthcare administration, operations, or a related field. 3+ years of experience in human or animal healthcare. 3+ years of experience in business operations, operational management, project coordination, business intelligence, data management, or a related field. Healthcare and operations experience may overlap. Strong analytical skills and demonstrated comfort working with operational data. Experience preparing reports, monitoring KPIs, and building or maintaining dashboards. Strong proficiency with spreadsheets, presentations, shared-document platforms, project-management tools, and collaboration systems. Strong written and verbal communication skills. Excellent organization, attention to detail, and follow-through. Ability to manage multiple projects, deadlines, and priorities across departments. Strong problem-solving skills and a continuous-improvement mindset. Comfortable working in a growing organization where priorities, systems, and processes may evolve. Technology & AI SkillsExperience using AI tools to support workflow improvement, data analysis, process documentation, simple automation, scripting, research, or operational problem-solving is strongly preferred.Preferred Experience5+ years of relevant operations experience. Veterinary, animal healthcare, or specialty healthcare experience. Experience supporting a multi-location healthcare organization. Experience working directly with senior leaders or executives. Experience managing cross-functional projects and process-improvement initiatives. Experience supporting system implementations or organizational change.
