You'll handle recruitment coordination, payroll administration, compliance management, leave administration, and work pass processing—working within Singapore's MOM and ECDA frameworks. If organization, compliance, and supporting a mission-driven team energizes you, let's talk.Location: River Valley, Central Area, SingaporeIndustry: Early Childhood EducationReports to: Group Head of School / Centre PrincipalEmployment Type: Full-time, OnsiteOBJECTIVE OF THE ROLEAs a Centre Administration & Operations Executive, you will provide professional, proactive and confidential administrative and operational support across Our Client School’s three campuses. The role supports the end-to-end enrolment and withdrawal process, parent and visitor experience, centre operations, resources, vendors and school events, while working closely with the Principals, Group Head of School, and Finance Manager to ensure the smooth and effective operation of the school.A professional, reassuring and service-oriented approach is essential when communicating with parents, prospective families, staff, vendors and other stakeholders.KEY EXPECTATIONS AND RESPONSIBILITIES1. Enrolment & Admissions AdministrationCoordinate the enrolment journey from initial enquiry, school tour and follow-up through application, admission and commencement.Maintain accurate records of enquiries, applications and enrolment conversion.Manage school tour bookings across all three campuses through Little Lives and Google CalendarCoordinate with Principals and educators on orientation sessions, enrolment documentation and start dates.Maintain accurate admissions data and class lists across Little Lives, CMS and Google Drive, working with Principals to ensure information is current, including required documentation and submissions.Maintain accurate enrolment and withdrawal records and provide regular enrolment reports to the Group Head of School.Coordinate with the Finance Manager on deposit and school fee invoices and payment status.Support the collection and administration of ECDA fee subsidy documentation and submissions where required.2. Parent, Family & Office AdministrationAct as a professional and welcoming first point of contact for parents, prospective families and visitors.Manage general enquiries by telephone and email, responding to administrative matters and referring pedagogy or curriculum-related matters to the appropriate Principal.Provide families with administrative guidance on enrolment, fees, invoicing and relevant school programmes.Maintain a professional, welcoming and well-resourced administration office.Ensure appropriate office and telephone coverage and coordinate with the wider leadership team when required.Provide confidential administrative and secretarial support to the Principals, Group Head of School and Management Team.3. Resources, Procurement & Vendor ManagementMonitor and replenish children’s food items, staff pantry items, first aid supplies, toiletries, stationery, office supplies, school resources and other operational requirements within approved budgets.Manage regular and ad hoc ordering of food, ingredients, cleaning supplies, event resources and other approved items.Manage weekly inventory surveys and organised stock records.Liaise with and coordinate external vendors for landscaping, pest control, facilities maintenance and other school services.Research and source suitable suppliers, pricing and availability for ad hoc purchases where required.Support the Principals and the Finance Manager with petty cash administration and staff claims, as required.4. General School OperationsProvide day-to-day administrative and operational support to the Principals and school teams.Support administrative and basic IT-related enquiries from staff and coordinate resolution where required.Support learning trip bus logistics, including coordination of arrival and departure arrangements and related administrative requirements where needed.Coordinate school lunch and food orders with approved service providers as required.Support the online posting on the Little Lives bulletin, the printing and display of school communications, and marketing collateral where necessary.Assist with facilities, office and operational matters to ensure the campuses remain well organised, functional and welcoming.5. Events & Community EngagementSupport the planning and execution of the annual school events calendar, including open days, parent evenings, Discover Programmes, staff training and special events.Coordinate event RSVPs, attendance information, and communication with parents, staff, and other stakeholders as needed.Arrange venues, catering, equipment, presentation facilities and other event resources within approved parameters.Provide administrative support for parent, family and alumni-related programmes and activities where required.Contribute to a positive customer service culture and enhanced experience for the Blue House community.QUALIFICATIONS & EXPERIENCEDiploma or equivalent qualification in Business Administration, Education, Early Childhood, Operations or a related field.Minimum 2–3 years’ experience in administration, school/centre operations, customer service or a similar coordination role.Experience in an education or childcare environment will be an advantage.Experience with Little Lives, CMS or other student/enrolment management systems is preferred.Experience in vendor coordination, event administration and multi-site operations will be an advantage.What We Are Looking ForWe are looking for someone more than an administrator, someone who can take ownership of the operational details that keep our centres running smoothly.
