Client Operations Project Manager – Washington, DC (Hybrid)About the OpportunityWe are seeking a Client Operations Project Manager to join a leading professional services organization. This position is based in Washington, DC and follows a hybrid schedule, requiring three days per week in the office.The Client Operations Project Manager serves as a strategic partner and primary point of contact for assigned stakeholders, clients, and internal administration and accounting teams. This highly visible, client-facing role is responsible for facilitating day-to-day administrative operations and resolving complex issues related to client accounting procedures. The position drives the client/matter lifecycle forward, supporting processes such as new business intake, billing rates and special arrangements, RFPs, pricing, billing, e-billing, and collections.The successful candidate will act as the central point of coordination between clients, internal teams, and leadership, ensuring operational efficiency, compliance, and alignment across all stakeholders.ResponsibilitiesServe as the primary liaison between assigned partners, practice areas, clients, and internal administration and accounting teams, building strong relationships and ensuring clear communication.Condense complex information into actionable summaries and reports to support decision-making.Prepare and deliver regular updates on client onboarding, billing, collections, and financial performance.Provide guidance regarding client accounting processes, policies, and best practices.Proactively follow up with clients and internal stakeholders to resolve outstanding issues and drive processes to completion.Collaborate with clients and accounting teams to resolve invoice issues, reallocate charges when needed, and ensure prompt payment.Facilitate e-billing activities, including invoice submission, tracking, and resolution of billing rejections.Partner with pricing and rates teams to manage timekeeper submissions, approvals, and rate-related discrepancies.Prepare, review, and edit invoices for accuracy and compliance with client requirements.Address rejected invoices, process write-offs, and maintain accurate records for assigned clients and matters.Monitor matter accruals against budgets and alternative fee arrangements (AFAs), identifying risks and profitability trends.Coordinate requests for engagement letters and work closely with legal and compliance teams to ensure timely completion.Manage the end-to-end new client and matter intake process, partnering with accounting, conflicts, KYC, engagement letter, and legal teams.Act as the central point of contact for billing rate negotiations, pricing initiatives, and non-standard billing arrangements.Support collection efforts by monitoring aged receivables, tracking commitments, and driving resolution of outstanding balances.Coordinate reviews of outside counsel guidelines and client audit requests.Identify and implement process improvements to enhance efficiency, scalability, and client service delivery.Develop and maintain operational best practices and participate in strategic departmental initiatives.Ensure compliance with organizational policies and procedures.Handle sensitive information with discretion and confidentiality.QualificationsDemonstrated ability to build and maintain trusted client and stakeholder relationships.Strong analytical, organizational, and project management skills.Excellent verbal and written communication skills with the ability to present complex information clearly.Deep understanding of client administration, including intake, billing, e-billing, conflicts, KYC, pricing, rates, and collections.Proficiency with business and financial software platforms, including Microsoft Outlook, Microsoft Excel, billing systems, and document management tools.Ability to manage multiple priorities in a fast-paced environment.Solutions-oriented mindset with a proactive approach to process improvement.Strong attention to detail and professionalism when handling confidential information.Ability to work independently and collaboratively.Flexibility to meet evolving business needs and deadlines.Education & ExperienceBachelor's degree required; advanced degree or related certifications preferred.Minimum of five years of experience in client administration, billing, accounting operations, or a related professional services function.CultureThis organization offers a collaborative, high-performance environment that values teamwork, professional growth, inclusion, and continuous development.
