Our team values excellent service, continuous improvement, accountability, collaboration, and data-driven decision-making.About the Role:As our Client Relations & Sales Coordinator, you will play a key role in both the client experience and commercial performance of our studios.You will manage the client journey from initial inquiry and first booking through package purchase, continued attendance, renewal, and retention.This is not purely a front desk role. You will be expected to proactively use booking, attendance, package, and sales data to identify opportunities and take action—whether that means following up with a new lead, reminding a client about an expiring package, encouraging a first-timer to return, or reconnecting with a client who has stopped attending.You will also support the day-to-day administration of the studio, including bookings, scheduling, payments, and client concerns.What Fit to Live Offers: Opportunities for career growth and increased responsibilitySupportive and collaborative work environmentFree Pilates classesEmployee benefitsTraining and professional development opportunitiesKey Responsibilities: 1. Sales, Renewals & Client RetentionRespond to and follow up with new inquiries through phone, messaging platforms, social media, and in-person visits.Convert inquiries and first-time clients into bookings, packages, and recurring clients.Monitor package balances, utilization, and upcoming expiration dates and proactively initiate renewal conversations.Track first-time clients and follow up to encourage their next booking or package purchase.Identify inactive or declining clients based on booking and attendance patterns and proactively reconnect with them.Recommend appropriate packages, private sessions, group classes, workshops, and other services based on client needs.Work toward defined sales, conversion, renewal, and retention targets.2. Data-Driven Client ManagementRegularly review booking, attendance, package, and sales data to identify opportunities requiring follow-up.Maintain organized client follow-up lists and ensure opportunities do not fall through the cracks.Monitor key client metrics such as lead conversion, first-timer conversion, package renewals, client activity, and retention.Identify trends in client behavior and communicate relevant insights to management.Prepare simple weekly and monthly reports on sales activity, follow-ups, renewals, and client retention.3. Client Experience & Front DeskProvide professional, warm, and attentive service to every client.Manage bookings, rescheduling, cancellations, waitlists, and other client account concerns.Assist clients in selecting the appropriate classes, instructors, and packages based on their needs.Resolve client concerns and scheduling issues professionally and efficiently.Maintain accurate client information and records within the studio's booking system.Build genuine relationships with clients and understand their preferences, goals, and experience with Fit to Live.4. Studio Administration & OperationsProcess payments and point-of-sale transactions accurately.Complete required daily front desk and sales reports.Coordinate with instructors and other team members regarding bookings, schedules, and client concerns.Maintain an organized, clean, and professional reception and client-facing area.Support studio events, promotions, workshops, and other client initiatives when needed.Assist with other reasonable studio administrative responsibilities as required.What We're Looking ForClient-Focused. You are comfortable learning booking and customer management systems such as Momence or similar platforms and can confidently use Google Workspace and spreadsheets, and are able to utilize AI responsibly and efficiently as a tool to create/reach goals. Professional Communicator. You communicate clearly and professionally in person, over the phone, and through digital channels.QualificationsAt least 1 year of experience in sales, customer service, hospitality, fitness, wellness, retail, or a similar client-facing roleExperience working toward sales or customer service targets is an advantageComfortable working with spreadsheets, reports, and basic client dataStrong written and verbal communication skillsStrong organizational and follow-up skillsWilling to work on-site and across studio operating hours, including some early mornings, evenings, weekends, and holidays as requiredInterest in fitness, Pilates, health, or wellness is an advantageSuccess in This RoleSuccess will be measured by your ability to:Convert inquiries into paying clientsConvert first-time clients into returning clientsDrive package renewalsReduce missed renewal opportunitiesReactivate inactive clientsMaintain strong client relationships and satisfactionKeep client, booking, and sales administration accurate and organizedUse data consistently to determine where your attention is needed mostIf you are organized, confident with people, commercially minded, and enjoy turning great client experiences into long-term relationships, we'd love to hear from you.
