This role is ideal for someone who enjoys providing exceptional client service, thrives in a fast-paced environment, and takes pride in keeping operations organized and running smoothly.As a key member of our team, you will support advisors and clients by managing day-to-day service requests, coordinating administrative processes, and helping deliver an outstanding client experience.Key ResponsibilitiesClient Service & Relationship SupportExecute client service requests and follow-up activitiesRespond to routine client inquiries and provide timely updatesAnswer inbound phone calls and direct inquiries to the appropriate team memberSchedule and coordinate client meetingsSupport the onboarding of new clientsAssist with client engagement activities, including holiday cards, birthday cards, client appreciation gifts, and milestone recognitionDeliver a professional, responsive, and positive client experienceTransaction Processing & New Business SupportProcess client transactions, including: Rollovers, transfers, contributions, distributionsProcess financial paperwork and documentation accurately while ensuring compliance requirements are metMonitor client requests and new business through completion while providing timely updatesFollow up with clients, insurance carriers, and the home office regarding outstanding transactionsMeeting Preparation & Follow-UpPrepare forms, paperwork, and meeting support materialsAssist with gathering and organizing information needed for client meetingsTrack and complete assigned post-meeting tasksSupport advisors by ensuring follow-up commitments are completed accurately and on timeCRM, Documentation & ComplianceMaintain accurate CRM records, including client notes, tasks, and demographic informationUpdate client information within CRM and financial planning systemsSave and organize client documents within approved storage systemsEnsure all documentation meets regulatory, compliance, and practice standardsAdministrative & Practice SupportManage incoming mail and client correspondence, ensuring timely distribution, accurate recordkeeping, and proper documentationEnsure office supplies remain adequately stockedTrack and record office expensesMonitor and execute scheduled social media postsWhy Join Johnson and Associates?Join a growing, relationship-focused wealth management practice. This is a full-time, non-exempt, hourly position.
