Department: Community EngagementReports To: Director of Community EngagementStatus: Part-Time, Non-ExemptSchedule: Approximately 20 hours per week, primarily Tuesday–Thursday, with flexibility based on programming and department needs. Primarily onsite, with occasional evenings and weekends required for Community Engagement programs and events.Hourly Rate: $20–$25 per hour, commensurate with experiencePOSITION SUMMARYThe Part-Time Community Engagement Program Coordinator supports the day-to-day coordination and execution of Miami City Ballet’s Community Engagement programs and initiatives. Working closely with the Director of Community Engagement and department staff, this role helps move programs from planning to execution by supporting logistics, communications, follow-up, materials, documentation, program coordination, and community events. Responsibilities may vary based on departmental priorities and programming needs, with opportunities to coordinate assigned program activities or recurring program components as appropriate.ESSENTIAL DUTIES & RESPONSIBILITIESProgram Coordination & Follow-Up·        Support all Community Engagement programs and initiatives as assigned.·        Coordinate assigned program activities and recurring program components as appropriate.·        Support program follow-up, communications, confirmations, timelines, and outstanding action items.·        Communicate with teaching artists, volunteers, interns, community partners, participants, and internal staff to help ensure program needs are addressed.·        Coordinate and book teaching artists and other program resources based on direction from the Director of Community Engagement.·        Coordinate volunteers, including outreach, confirmations, scheduling, and follow-up.·        Provide proactive follow-up and help identify outstanding tasks and next steps to keep programs moving forward.Program & Event Logistics·        Assist with preparation and execution of Community Engagement programs, workshops, performances, and special events.·        Coordinate and prepare program materials, supplies, spaces, schedules, and other logistical needs.·        Provide onsite support for Community Engagement programming and community events, including setup, execution, and breakdown as needed.·        Support day-of program and event logistics and help address operational needs as they arise.·        Coordinate with internal departments and external partners to support smooth program delivery.Administrative & Department Support·        Maintain program calendars, files, templates, timelines, and documentation.·        Provide administrative and organizational support to the Community Engagement department.·        Process invoices, reimbursement requests, and credit-card reconciliation documentation.·        Maintain organized records and documentation related to program activities and department operations.·        Support purchasing, scheduling, space requests, and other administrative needs as assigned.Program Data, Documentation & Grants·        Collect, organize, and maintain program data and supporting documentation.·        Assist with organizing information and documentation needed for grant reports, evaluations, and other departmental reporting.·        Ensure program documentation is complete, accurate, and organized for future reference and reporting needs.Marketing Support·        Update existing Canva templates and prepare program-related materials as needed.·        Organize and submit marketing requests and coordinate follow-up with the Marketing Department.Community Engagement Representation·        Represent Miami City Ballet professionally and positively at Community Engagement programs, community events, and outreach activities.·        Build positive working relationships with staff, teaching artists, volunteers, community partners, families, participants, and community members.·        Respond to communications and program needs in a timely, professional, and reliable manner.REQUIRED QUALIFICATIONS·        One to two years of experience supporting or coordinating programs, events, education initiatives, nonprofit programs, arts organizations, community engagement, or related activities; equivalent combination of education and experience considered.·        Associate degree preferred; equivalent combination of education and relevant experience considered.·        Strong organizational, follow-through, and time-management skills with attention to detail.·        Ability to manage multiple priorities, deadlines, and projects simultaneously.·        Strong written and verbal communication skills.·        Professional and confident communication with staff, teaching artists, volunteers, community partners, families, and participants.·        Ability to work independently, take direction, and collaborate effectively as part of a team.·        Proficiency with Google Workspace and Microsoft Office.·        Must be at least 18 years of age and pass Level II background screening.PREFERRED QUALIFICATIONS·        Experience in arts education, dance, nonprofit, community engagement, youth programming, or event coordination.·        Experience with Canva, Google Forms, and/or project management systems.·        Bilingual in English and Spanish or Creole.·        Experience coordinating programs or events involving children, families, schools, or community organizations.CORE COMPETENCIES·        Initiative and proactive follow-through.·        Reliability, responsiveness, and dependability.·        Strong interpersonal skills and emotional intelligence.·        Ability to anticipate needs, identify outstanding tasks, and move work forward.·        Attention to detail and ability to maintain organized systems and documentation.·        Flexibility and willingness to adapt priorities based on program and department needs.PHYSICAL REQUIREMENTS & WORK ENVIRONMENT·        Ability to sit, stand, walk, and remain active for extended periods of time.·        Ability to lift and carry up to 50 pounds.·        Ability to travel throughout Miami-Dade, Broward, and Palm Beach counties as required for Community Engagement programming and events.·        Availability to work occasional evenings and weekends based on program and event schedules.·        Primarily onsite work, with schedule flexibility based on programming and department needs.OTHER DUTIESOther duties and responsibilities may arise based on the needs of the Community Engagement Department and Miami City Ballet.TO APPLY please send: 1.
