We are looking for a highly organized, detail-oriented, and proactive Contracting Operations Specialist to join our Product & Contracting team. This role is ideal for someone who enjoys working in a fast-paced tourism and destination management environment, coordinating with multiple stakeholders, and ensuring that supplier onboarding, contract administration, documentation, and product readiness are completed accurately and on time.The successful candidate will play an important role in supporting the full contracting lifecycle, from supplier onboarding and contract tracking to internal approvals, system coordination, product launches, and operational follow-ups. This position requires strong administrative discipline, excellent communication skills, and the ability to maintain accuracy while managing multiple priorities across internal departments and external partners.About the RoleAs the Contracting Operations Specialist, you will act as a key coordination point between Product, Contracting, Finance, Legal, Procurement, Sales, Marketing, Reservations, and suppliers. You will help ensure that contracts, supplier records, documentation, rate information, and operational requirements are properly maintained and aligned with business needs. The role also supports product implementation activities, campaign preparation, event readiness, and continuous improvement initiatives across the contracting process.Job Scope:Coordinate the end-to-end supplier onboarding process, ensuring all required documents, approvals, compliance checks, and supplier information are complete, accurate, and properly recorded.Support contract administration activities, including contract preparation, internal review coordination, approvals, signatures, renewals, expiry monitoring, amendment tracking, and organized document filing.Maintain accurate supplier databases, contract trackers, product records, rate sheets, and compliance reports to ensure visibility and timely follow-up across the contracting lifecycle.Coordinate closely with Product, Contracting, Finance, Legal, Procurement, Sales, Marketing, Reservations, and external suppliers to ensure tasks are completed within agreed timelines.Support product setup and operational readiness by coordinating required information for system loading, supplier activation, product go-live, and related implementation activities.Prepare rate comparisons, supplier summaries, contracting support documents, product information sheets, and operational updates to support business decision-making.Assist with finance-related coordination, including invoice documentation support, reconciliation follow-ups, missing information checks, and supplier payment-related queries where required.Support product launches, commercial campaigns, peak business periods, destination events, and major operational requirements by ensuring contracting and supplier information is ready and accurate.Monitor pending actions, highlight delays or gaps, follow up with the relevant stakeholders, and help resolve administrative or process-related issues in a timely manner.Contribute to process improvements, SOP updates, reporting enhancements, and initiatives that improve efficiency, compliance, and overall contracting operations.RequirementsQualificationsBachelor’s degree in business administration, Tourism, Hospitality, Operations Management, or a related field.ExperienceMinimum of 2 years of experience in contracting, procurement, supplier administration, product support, commercial operations, or a similar coordination-focused role.Experience within the DMC, tourism, travel, hospitality, attractions, experiences, events, or OTA sectors is preferred.Previous exposure to supplier onboarding, contract tracking, rate management, product loading, or operational coordination will be an advantage.SkillsStrong administrative, organizational, and coordination skills with excellent attention to detail.Advanced proficiency in Microsoft Office, especially Excel, with the ability to maintain trackers, reports, and structured documentation.Strong communication and stakeholder management skills, with confidence in following up across different teams and supplier contacts.Ability to manage multiple priorities, work under timelines, and maintain accuracy in a fast-paced environment.Good problem-solving skills with a proactive approach to identifying gaps, following up on pending items, and supporting smooth execution.High level of professionalism, confidentiality, and accountability when handling contract documents, supplier information, and business records.PreferredExperience using contracting, reservation, DMC, tourism, or product management systems.Familiarity with supplier onboarding workflows, contract governance, compliance documentation, and approval processes.Understanding of tourism products, attractions, destination experiences, events, excursions, transfers, hotels, or travel trade operations.Comfortable working with cross-functional teams and external partners in a deadline-driven environment.
