Within this group, IUM remains an intimate, human-sized business school with a deeply multicultural outlook.The roleThe Coordinator – Curriculum & Planning joins the Curriculum & Planning team within the Academic Operations & Student Experience Department. The team is responsible for turning IUM's program structures into a working academic year: maquettes, calendars, schedules, exam periods and the information students and faculty rely on to navigate them.This is a hands-on operational role with scheduling at its core. The Coordinator builds and maintains semester timetables across IUM's programs, not just coordinates them: multi-constraint scheduling across faculty availability, room capacity, cohort and group structures, electives and exam sessions, with the many adjustments a live academic year requires. The Coordinator works closely with the Head of Curriculum & Planning, the Academic Administration team, Student Services, program directors and faculty. The department operates from documented processes (the Academic Operations Manual); the Coordinator is expected to work from them, apply them consistently and contribute to keeping them current.ResponsibilitiesScheduling and program planningOwn the full planning cycle of the programs, from program structure to published schedule.Maintain program structures accurately in the team's planning files and track changes across academic cycles.Build semester timetables: allocate courses to slots, rooms and faculty, resolve scheduling conflicts across cohorts, groups and electives, and deliver a complete, validated schedule on the agreed calendar.Manage in-semester changes (faculty unavailability, room reassignments, added sessions, make-up classes) quickly and accurately, keeping the published schedule and all related information consistent and maintaining standards.Plan exam periods (sessions, rooms, invigilation needs) in collaboration with the team and the Academic Administration team.Ensure consistency of scheduling rules and outputs across all programs with the rest of the team.Contribute to the academic calendar and the planning of key milestones.Coordinate course scheduling, classroom assignment and course registration each semester with the Academic Administration team.Coordinate scheduling and resource needs with faculty and program directors.Student and faculty informationKeep students informed ahead of key deadlines and milestones, anticipating their questions and needs.Maintain organized, up-to-date systems for program information and resources.Process, reporting and qualityApply the department's documented processes.Contribute to the team's reporting cadence: planning status, program changes, data for program evaluation.Support annual program review, curriculum revision and accreditation documentation (AACSB, AMBA).Participate in cross-department initiatives with Academic Administration, Digital Learning, Support and Student Services to improve the student journey.Qualifications and experienceMaster's degree.2–3 years of experience in academic administration, program coordination or a related role in higher education.Demonstrated experience in academic scheduling or timetabling with multiple constraints (faculty, rooms, groups, options) is essential; experience with curriculum management or academic planning is a strong plus.Familiarity with higher education program structures and academic governance is valued.Candidate profileProfessional-level fluency in English and French, spoken and written.Rigorous and reliable: takes full ownership of assigned programs and tasks, delivers to deadline, and flags issues early rather than late.Comfortable working within documented processes and disciplined about keeping documentation and systems accurate.Strong scheduling mindset: comfortable holding many interdependent constraints at once, methodical in testing and resolving conflicts, and calm when the timetable has to be reworked at short notice.Strong organizational skills; able to manage several planning cycles and priorities in parallel.Proactive and detail-oriented, with the ability to anticipate needs and spot potential conflicts before they arise.Clear, professional communicator with students, faculty and colleagues across departments; a genuine team player in a small, interdependent structure.Sound judgment and practical problem-solving.Intermediate to advanced Excel skills are essential: the team's planning and program data live in Excel, so the Coordinator must be confident with VLOOKUP/XLOOKUP, pivot tables, structured tables and data cleaning, and be able to build and maintain shared working files.
