Crewing Executive

Job DescriptionLead and coordinate all aspects of crew management for personnel employed on Company vessels, ensuring timely recruitment, deployment, documentation, payroll, travel, compliance, and welfare in accordance with the company Quality Management System, Marine HR procedures, MLC, STCW, Flag requirements, and client-specific standards.Key ResponsibilitiesManage end-to-end crewing activities including recruitment, appointment, joining, relief, repatriation, and separation of sea staff.Act as the first point of contact for personnel-related matters and queries for crew assigned to vessels under responsibility.Ensure vessels are manned with suitably experienced and qualified personnel in accordance with Safe Manning, STCW, Flag Certification, company, and client requirements.Follow established recruitment, document-checking, and Marine HR procedures for all crew appointments.Issue and manage MLC Employment Agreements and ensure all crew documentation remains valid, accurate, and compliant.Coordinate crew travel, visas, flights, transfers, and joining arrangements in a timely and cost-effective manner.Programme crew movements and communicate travel and relief plans to vessels, clients, technical managers, and relevant stakeholders.Liaise with clients, technical managers, overseas manning agents, and internal departments to ensure smooth crew deployment.Maintain accurate crew lists, personnel records, crewing systems, and files, ensuring timely updates for compliance and payroll purposes.Process monthly payrolls within deadlines, including allotments, timesheets, DRJCS, expenses, and coordination with Accounts for timely payments.Ensure newly recruited and promoted personnel receive relevant company/client policies, procedures, briefings, and required inductions.Monitor crew performance appraisal reports and identify training and development requirements.Support crew welfare and respond to out-of-hours emergency matters involving seafarers.Provide required information and documentation for P&I claims and other personnel-related matters.Prepare and support crew budgets, OPEX planning, monthly turnover reports, dismissal statistics, and other management reports.Identify and report potential manning issues or operational risks to the Assistant General Manager and senior management.Participate in meetings, ship visits, crew debriefings, senior officer visits, and other marine personnel activities as required.Review the Marine HR Manual and recommend improvements to crewing processes and procedures.Ensure compliance with the company's Safety and Environmental Policy and all applicable statutory and regulatory requirements.Promote employee engagement, professional development, welfare, and continuous improvement across the crew management function.Key RequirementsBachelor’s degree / 4-year university qualification in Business Administration, Maritime Studies, or a related discipline.Minimum 3 years of experience in a reputable cruise manning or cruise ship crewing company.Previous sea-going experience on a cruise ship is preferred.Strong knowledge of cruise industry crewing and marine personnel management.Good understanding of STCW, MLC, Safe Manning, Flag State, and crew documentation requirements.Working knowledge of payroll, allotments, timesheets, expenses, budgets, and OPEX management.Strong coordination and communication skills with seafarers, vessels, clients, manning agents, and internal stakeholders.Ability to manage multiple crew movements and personnel requirements within strict deadlines.Strong attention to detail with a high level of accuracy in documentation and personnel records.Good problem-solving, decision-making, and stakeholder-management skills.Willingness to provide out-of-hours support for emergency crew welfare and personnel matters.Strong commitment to safety, environmental compliance, confidentiality, and professional standards.BenefitsOpportunity to work with a global ship management company with a family-oriented culture.Professional development, training, and mentorship opportunities.Culture focused on professional excellence, employee care, well-being, and collaboration.Competitive compensation and benefits package.Opportunity to build a long-term career in the global maritime and cruise industry.
