A. Job Description:Sales Documentation & Contract Management: Draft and prepare Sales Contracts, Proforma Invoices (PI), and Purchase Orders (PO).Export Documentation Processing & Management: Coordinate with the Logistics/Import-Export Department to prepare and verify shipping documents, including Bills of Lading (B/L), Certificates of Origin (C/O), Packing Lists, Certificates of Quality/Analysis (CQ/CA), etc., ensuring accuracy and timely completion. For large bulk wood pellet orders, coordinate with the Sales Admin team and copy the relevant Sales Admin personnel on related emails.L/C Coordination: Liaise with banks and customers regarding Letter of Credit (L/C) terms and conditions, where applicable. Coordinate with the Operations (OPS) team to ensure that all documents comply with L/C requirements and customer requirements, where applicable.Accounts Receivable Monitoring & Control: Coordinate with the Accounting Department to monitor customers’ payment progress, including T/T, L/C, and deposits; update the Sales team and follow up on outstanding payments prior to shipment.Claim Handling: Receive and handle feedback and claims from international customers regarding products; coordinate with QA/QC, the Factory, and the Logistics team to investigate the root cause and propose appropriate corrective actions or compensation solutions.Order Updates & Monitoring: Monitor orders throughout the entire process, from order placement to completion. Proactively update order status, including shipping documents and vessel schedules/ETA, and promptly inform customers of any changes or issues that may arise.Customer Relationship Management & Retention: Maintain customer relationships through customer care activities on holidays, Lunar New Year, and birthdays. Monitor the re-order cycle of each account and coordinate with the Sales team to follow up and promote subsequent orders.Customer Records & History Management: Maintain detailed records of customer information, transaction history, issues encountered, and specific customer preferences or special requirements in the CRM system.Customer Service Reporting: Consolidate data and prepare periodic reports (weekly/monthly/quarterly) on claim handling, customer satisfaction indicators, and customers at risk of discontinuing business relationships.Other Duties: Perform other tasks as assigned and directed by the Department Head/Supervisor.B. Candidate Requirements:Bachelor's degree in Import–Export, International Business, Logistics, Business Administration, or a related field.Minimum of 2 years of experience in import and export operations, with a good understanding of Letter of Credit (L/C) payment procedures. Experience in export industries such as wood products, furniture, agricultural products, or textiles is preferred.Good knowledge of international trade and export procedures, including commercial documentation and shipping processes.Strong communication and customer service skills.Careful, detail-oriented, proactive, and able to work independently.Good command of English, with the ability to read and write business emails, prepare and review export documentation, and communicate effectively with overseas customers.C.
