Customs Admin Assistant / Boutique Receptionist / Equipment Helper to support customs documentation, shipment administration, boutique reception, customer service, equipment coordination, records management, and general operations.The ideal candidate is organized, detail-oriented, professional, approachable, and comfortable handling shipping documents, customer requests, equipment records, and multiple operational priorities.Key ResponsibilitiesAssist with customs administration for approved import, export, transit, and shipment activities.Prepare, organize, verify, and file customs declarations, commercial invoices, packing lists, certificates, permits, delivery documents, and supporting records.Check shipment details including consignee, consignor, HS codes, quantities, values, country of origin, shipment references, and transport information.Enter approved customs and shipment information accurately into ERP, customs, logistics, or document-management systems.Coordinate with customs brokers, freight forwarders, shipping providers, suppliers, warehouses, finance teams, and internal operations.Track customs-clearance status, document submissions, inspection requests, approvals, holds, and outstanding requirements.Follow up on missing documents, incorrect information, customs queries, shipment delays, and clearance exceptions.Maintain customs registers, shipment trackers, declaration records, clearance files, and correspondence logs.Assist with verifying duties, taxes, fees, invoices, and approved customs-related charges.Maintain organized electronic and physical records for customs declarations, shipment documents, permits, and clearance evidence.Support internal reviews and provide authorized documentation for customs, logistics, finance, or compliance checks.Escalate customs discrepancies, restricted-item concerns, missing permits, or significant clearance issues to authorized personnel.Protect confidential customer, shipment, financial, commercial, and trade information.Welcome customers, VIP guests, clients, suppliers, and visitors professionally at boutique or showroom locations.Manage reception check-in, appointments, customer inquiries, calls, messages, reservations, and visitor records.Provide approved information regarding products, services, appointments, store policies, collections, events, and customer procedures.Coordinate with sales advisors, boutique managers, security, facilities, inventory, customer service, and management teams.Assist with customer collections, reservations, returns, deliveries, product inquiries, and follow-up requests.Maintain accurate visitor logs, appointment calendars, customer requests, reception records, and daily activity reports.Provide a polished, discreet, and personalized customer experience consistent with premium retail standards.Handle customer concerns professionally and escalate complaints, security matters, privacy concerns, or sensitive requests appropriately.Maintain a clean, organized, welcoming, and professional reception area.Assist with receiving, organizing, labeling, moving, and storing approved equipment, tools, devices, and operational supplies.Maintain equipment registers, asset lists, location records, issue logs, and basic maintenance trackers.Verify equipment against delivery notes, purchase orders, asset records, and approved specifications.Check item descriptions, serial numbers, model numbers, quantities, accessories, and visible condition.Report damaged, missing, defective, incorrectly delivered, or unserviceable equipment promptly.Assist with equipment issue, return, transfer, collection, and storage procedures.Coordinate with technicians, facilities, warehouse teams, suppliers, logistics providers, and department representatives.Support routine equipment inspections and record visible condition, inspection dates, and outstanding maintenance requirements.Assist with basic setup, movement, preparation, or positioning of equipment where authorized and safe to do so.Maintain organized equipment-storage areas and ensure items are clearly labeled and accessible.Assist with barcode scanning, tagging, inventory checks, and asset verification.Track equipment movements between departments, offices, project locations, storage areas, or service providers.Maintain documentation for repairs, servicing, replacements, warranties, and equipment-related requests.Prepare daily, weekly, and monthly reports covering customs activities, boutique reception, equipment movements, and outstanding tasks.Maintain organized electronic and physical files for customs, customer, shipment, equipment, supplier, and operational documentation.Support audits, inventory checks, customs-document reviews, equipment inspections, and service-quality assessments.Protect confidential customer, trade, financial, employee, and commercial information.Follow customs procedures, retail-service standards, equipment-handling policies, workplace safety requirements, data-protection standards, and applicable UAE regulations.Escalate safety hazards, security incidents, customs concerns, serious customer complaints, or significant equipment discrepancies promptly.Identify opportunities to improve customs documentation, customer experience, equipment visibility, record accuracy, and operational efficiency.RequirementsBachelor’s degree or equivalent qualification in Business Administration, Logistics, Supply Chain, International Trade, Customs, Retail Management, Operations, or a related field is preferred.3+ years of professional experience in customs administration, import/export documentation, luxury retail, reception, equipment coordination, logistics, or operations is preferred.Experience across two or more of customs documentation, boutique reception, customer service, equipment administration, inventory, or logistics is advantageous.Strong understanding of customs documentation, shipment administration, customer service, asset records, and operational procedures.Familiarity with UAE customs processes, import/export documentation, HS codes, Incoterms, freight documentation, or customs-clearance procedures is advantageous.Excellent spoken and written English communication skills.Additional languages such as Arabic, Hindi, Urdu, Mandarin, French, or Russian are advantageous.Professional, polished, approachable, discreet, and customer-focused manner.Exceptional attention to detail when handling customs declarations, shipment information, customer records, serial numbers, and equipment documentation.Strong organizational, numerical, multitasking, prioritization, and follow-up skills.Ability to manage confidential commercial and customer information responsibly.Strong communication, coordination, observation, and problem-solving skills.Proficiency in Microsoft Excel, Word, Outlook, Google Workspace, ERP, CRM, logistics, customs, and inventory systems.Advanced Excel skills, including PivotTables, lookups, filters, and reconciliation techniques, are advantageous.Experience with SAP, Oracle, Microsoft Dynamics, Odoo, CargoWise, or comparable platforms is advantageous.Familiarity with customs portals, freight-forwarding systems, WMS, barcode scanners, asset-management platforms, or digital inspection tools is advantageous.UAE or GCC experience in customs, freight forwarding, luxury retail, aviation, logistics, trading, hospitality, or corporate services is advantageous.Customs,
