Applicants joining Vault Logistics can expect to work in a dynamic environment that emphasizes professionalism, efficiency, and customer-focused service.Role Objective:The Customs Clearance Coordinator is responsible for managing and coordinating customs clearance, freight forwarding, and operational activities, and communicating with vendors to ensure timely and compliant shipment processing. Handles documentation, liaises with customs authorities, and resolves clearance issues. Also contributes to achieving sales targets by supporting client retention, identifying upselling opportunities, and increasing shipment volumes.

Key Responsibilities

Prepare and submit customs declarations through the Zakat, Tax and Customs Authority (FASAH system). Ensure accuracy of shipment details (HS codes, invoices, packing lists). Coordinate with the Zakat, Tax and Customs Authority for approvals and compliance. Monitor clearance status and resolve any system-related issues. Handle duty and VAT calculations and ensure timely payments. Generate customs-related invoices (e.g., DP and RSGT). Upload and manage all required customs documentation. Coordinate with shipping lines on customs-related matters only. Visit shipping lines when required to complete clearance procedures. Request and obtain Delivery Orders (DO) for clearance purposes. Coordinate with transporters to arrange gate passes and container pickup. For transit shipments: take over coordination from the clearance stage and manage the process until the shipment exits the port. Review, verify, and finalize transporter invoices for accuracy. Coordinate with the finance team regarding customs invoices and follow up on payments. Coordinate with the finance team to process and ensure timely payment to transporters. Follow up on shipments to ensure timely customs release. Resolve customs-related delays, inspections, and discrepancies. Maintain accurate records of all customs and financial transactions.Qualifications & ExpertiseBachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.Valid Customs Clearance License – Required.Strong knowledge of Saudi customs procedures, FASAH, ZATCA, and import/export documentation.Experience coordinating customs declarations, inspections, duties, and cargo release.Strong coordination skills with customs, ports, shipping lines, transporters, customers, and internal teams.Good communication, problem-solving, follow-up, and attention to detail.
