قدّم وتابع مع أبلاي إيدجJob Description – Departmental CoordinatorCompany: Edulab Educational Exchange Private LimitedLocation: PuneWork Mode: Full-Time | Work From OfficeEmployment Type: Full-TimeCompensation: Depends on experience | NegotiableAbout EdulabEdulab Educational Exchange Private Limited is a Pune-based educational institution committed to delivering high-impact, industry-relevant learning in technology and data-driven domains.Role OverviewWe are looking for an organized, proactive, and detail-oriented Departmental Coordinator to coordinate with multiple subject departments within a university and work closely with Heads of Departments (HODs) and academic teams.The role involves ensuring smooth communication between departments, tracking departmental updates, coordinating academic and administrative activities, following up on pending tasks, and providing timely updates to senior leadership.Key Responsibilities1. Department & HOD CoordinationCoordinate with HODs and academic teams across various subject departments within the university.Act as a central point of contact between academic departments and leadership.Collect regular updates on departmental activities, requirements, projects, and priorities.Follow up with HODs and department teams regarding pending tasks, submissions, and deliverables.Coordinate meetings, schedules, academic activities, and inter-departmental communication.Ensure smooth and timely flow of information between departments.2. Reporting & TrackingCompile and consolidate department-wise updates into structured reports.Prepare regular status reports and progress updates for senior leadership/CEO.Track action items, deadlines, submissions, and follow-ups across departments.Maintain updated department-wise trackers and ensure timely completion of updates.Proactively identify and highlight delays, gaps, or issues to leadership.3. Documentation & AdministrationMaintain organized records of departmental updates, meeting notes, reports, and other relevant documentation.Support the smooth coordination of academic and administrative activities.Assist in improving processes for effective communication and coordination between departments.Handle additional coordination and administrative responsibilities as assigned by leadership.Preferred ProfilePrior experience in departmental coordination, academic administration, university/college administration, operations, or a similar role.Experience working with HODs, faculty members, or academic departments will be preferred.Strong communication, coordination, organization, and follow-up skills.Ability to manage multiple departments, tasks, and stakeholders simultaneously.Good proficiency in MS Office, MS Excel, Google Sheets, and reporting tools.Strong attention to detail with the ability to maintain accurate and organized records.Comfortable communicating with senior academic and management stakeholders.Proactive, responsible, and capable of working independently.Strong ability to prioritize tasks and meet deadlines.Ideal CandidateThe ideal candidate should be someone who can effectively coordinate with multiple subject departments within a university, work closely with HODs and academic teams, track departmental activities, ensure timely follow-ups, and keep leadership updated on overall progress.The candidate should possess strong coordination, communication, reporting, and stakeholder-management skills, along with the ability to independently manage multiple responsibilities in a structured and timely manner.
