Our teams operate at the intersection of luxury retail and global travel, delivering a personalized and elevated shopping experience to customers around the world.Position OverviewWe are seeking a highly organized, detail-oriented, and design-minded Design Coordinator to support the planning, design, production, installation, and execution of Charter projects, Special Projects, and other design initiatives across Effy’s cruise retail portfolio. This role will work closely with the Store Design, Retail Experiences, Visual Merchandising, Creative, and Charter teams, as well as cruise line partners, vendors, fabricators, and other stakeholders, to help bring projects from concept through execution. The ideal candidate has a background or education in Interior Design or Design Management with the ability to understand space planning and design intent while also managing the detailed coordination required to keep complex projects moving forward.Projects may include Charters, special retail activations, temporary installations, new retail concepts, branded environments, events, and other strategic initiatives requiring design and project coordination support.This role is based at our New York City headquarters and requires being onsite five days a week.Key ResponsibilitiesProject Coordination & SupportProvide day-to-day design and project coordination support to Project Managers and Design leadership across Charters, Special Projects, and other business initiatives.Proactively track project schedules, action items, approvals, deliverables, and outstanding decisions to ensure projects remain on schedule.Assist with project documentation, presentations, specifications, budgets, procurement tracking, and installation planning.Identify potential design, production, or logistical issues and work with the appropriate teams to develop solutions.Support multiple projects simultaneously, adapting priorities based on evolving business needs and project timelines.Design Development & Interior Design SupportSupport the development of retail environments, activations, fixtures, displays, branded elements, and temporary installations from initial concept through final execution.Assist with space planning and communicating comments & feedback to designers or vendors for updated design packagesUtilize SketchUp and other design software to develop and modify layouts, and design concepts during planning, production, and onsite execution.Assist with sourcing materials, finishes, furniture, fixtures, decorative elements, and other design components as required.Maintain organized project design documentation, including drawings, specifications, finish selections, vendor information, and approvals.Communication & Meeting CoordinationAct as a liaison between internal teams, cruise line partners, designers, vendors, fabricators, and other stakeholders to maintain clear and timely communication throughout the project lifecycle.Coordinate project meetings and presentations, including scheduling, preparing current materials, documenting decisions and action items, and managing follow-up.Ensure stakeholders have access to the most current drawings, specifications, artwork, schedules, and project information.Vendor & Production CoordinationCoordinate with vendors and fabricators throughout the production process, communicating approved designs, specifications, quantities, materials, artwork, and timelines.Track vendor deliverables, samples, shop drawings, prototypes, production schedules, and outstanding approvals.Participate in vendor visits and production reviews as required.Inventory & Kit-of-Parts ManagementOrganize, track, and maintain accurate inventories and Kits of Parts for reusable fixtures, décor, signage, equipment, and other elements associated with Charters and Special Projects.Maintain current records of item locations, quantities, condition, modifications, replacements, and reorders.Coordinate with vendors and internal teams to ensure required materials are complete, updated, and ready for upcoming installations or activations.Travel, Installation & Onsite ExecutionCoordinate travel arrangements, itineraries, accommodations, shipping, and onsite logistics for team members and vendors as required.Support loading, installation, and final styling of retail environments, activations, and other project elements onboard cruise ships or at other project locations.Review onsite installations against approved design intent and assist with field adjustments, troubleshooting, and quality assurance.For Charter projects, support activations throughout the sailing as required, including maintenance, troubleshooting, disassembly, palletization, and offloading of project materials.Willing and able to travel domestically and internationally for 1–2 weeks at a time, multiple times throughout the year, including extended periods onboard cruise ships.QualificationsBachelor’s degree in Interior Design, Architecture, Retail Design, Environmental Design, or a related field preferred.1–3+ years of experience in Interior Design, Experiential Design, Visual Merchandising, or a related design/project coordination role.Working knowledge of space planning, materials and finishes, furniture and fixture design, construction drawings, and design documentation.Proficiency in SketchUp required; experience with AutoCAD, Adobe Creative Suite, Enscape, or similar design and visualization programs is a plus.Ability to read and understand floor plans, elevationsStrong organizational and project management skills with the ability to manage multiple projects and competing priorities.Strong attention to detail and ability to maintain accurate project documentation.Excellent written and verbal communication skills and confidence working with internal leadership, cruise line partners, designers, vendors, and fabricators.Resourceful and solutions-oriented, with the ability to respond quickly to design, production, and onsite challenges.Comfortable working in a fast-paced, highly collaborative environment where project needs and priorities may evolve quickly.Willingness and ability to travel domestically and internationally, including onboard cruise ships.Travel RequirementsSome travel opportunities may arise, including support for project site visits, ship visits, vendor coordination, and installations.
